Overview
- This position is physically located in the Philippines in support of LOGCAP***
The Administrative Assistant is responsible for providing comprehensive administrative and secretarial support to the TO Manager and to STT Operations, requiring considerable judgement and discretion, to include handling of information that is confidential in nature. Responsible for submitting various reports, must be detail oriented and demonstrate the ability to manage multiple tasks simultaneously. Must also possess excellent written and verbal communication skills, strong analytical and problem-solving skills. Must be able to work effectively with all levels of employees, including top, middle and supervisory levels of management.

- Proactively manage appointment scheduling and coordination using Microsoft Outlook.
- Ability to treat confidential information with professionalism and discretion.
- Must be able to work in a high stress, fast paced environment and demonstrate the flexibility required to handle a very dynamic work environment.
- Assemble and analyze information, prepare reports, and agendas.
- Maintain files, keep records, compile reports and process documents in a timely manner.
- Draft and produce grammatically correct, accurate and complete final correspondence to include letters, memoranda's etc.
- Develop and edit PowerPoint slides, and similar presentation materials.
- Screen and direct incoming calls, set up conference calls, handle walk-in requests, organize and maintain electronic files.
- Proactively offer suggestions for process improvements.
- Shall work on special projects assigned.
- Monitoring and maintaining staffing base on Basis of Estimates (BOE).
- Monitoring and maintaining subcontract employees trade licenses as required
- Maintains employee's alert roster, contact roster and organization chart for the Program.
- Performs other duties as assigned
Qualifications
- Minimum Qualifications: Education/Certifications: One-year related experience may be substituted for one year of education, if degree is required.
- Associate degree or Business School Certification desired; high school diploma required.
- Advantageous to have Philippines Driver's License
- Must be a Filipino Citizen
- Experience:
- Minimum 4 years executive-level experience.
- Experience in data collection and analysis
- Ability to work with very diverse workforce
- Advantageous to have Philippines Driver's License

- Ability to work with very diverse workforce
- Demonstrated ability to initiate, plan, prioritize, and organize multiple projects.
- Exceptional multi-tasking abilities and excellent follow-through on all assigned tasks are essential.
- Must possess professional interpersonal skills and the ability to work well with others, as well as the ability to work independently, in a fast-paced environment with changing priorities.
- Ability to keyboard at a minimum of 40 words per minute.
- Must be able to work effectively with all levels of employees, including top, middle and supervisory levels of management.
- Requires strong interpersonal skills.
- Must be able to handle confidential company and employee information with complete discretion.
- Must have strong organizational and planning skills and manage workflow efficiently and accurately.
- Must be proficient in the use of MS Office, including Word and Excel, Outlook, and other related applications.
- Ability to prioritize responsibilities to handle a demanding workload is required.
- Must be able to function with an intermediate level of English oral and written language skills.
- Attention to detail with a high degree of accuracy is required.
- Working Conditions:
- The worker is subject to atmospheric conditions. One or more of the following conditions that affect the respiratory system of the skin: fumes, odors, dust, mists, gases, or poor ventilation.
- Physical Requirements:
- Light work. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.
