Job Overview

The Administrative Assistant provides comprehensive administrative, operational, travel, financial, and office support to the Head of International Sales and the International Sales team. The role ensures the efficient coordination of schedules, travel arrangements, departmental resources, meetings, budget monitoring, records management, and employee-related administrative requirements while maintaining confidentiality and compliance with company policies and procedures.

Job Duties & Responsibilities

  1. Provide comprehensive administrative and communication support to the Head of International Sales, ensuring efficient coordination, record management, reporting, and departmental operations.
  2. Manage end-to-end domestic and international travel arrangements, documentation, expense processing, and travel benefits administration in compliance with company policies.
  3. Oversee departmental office operations, procurement, asset management, virtual collaboration tools, and coordination of facility and IT support requirements.
  4. Support budget planning and financial administration by monitoring expenses, processing payments, maintaining records, and ensuring compliance with company controls and policies.
  5. Coordinate and provide administrative support for meetings, events, training programs, and related logistics to ensure successful execution and stakeholder engagement.
  6. Support employee-related administrative processes, engagement initiatives, and departmental programs in coordination with Human Resources and other relevant functions.

Job Specifications and Qualifications

  1. Graduate of a Bachelor's degree in Business Administration, Management, Office Administration, or a related field
  2. Minimum 2-3 years of work experience in administrative, executive support, or office management roles; experience supporting senior management and coordinating international travel arrangements is preferred
  3. Strong organizational and multitasking abilities; strong attention to detail and accuracy in documentation; ability to handle confidential information with professionalism; ability to work independently and prioritize competing responsibilities
  4. Excellent verbal and written communication skills
  5. Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook, Teams)
  6. Knowledge of travel coordination, expense management, and procurement processes
