Position Overview
The
Administrative Assistant will provide day-to-day administrative and clerical support to ensure the smooth operation of the office. This role will assist with scheduling, document preparation, office supplies management, basic bookkeeping support, and front-desk duties. The Administrative Assistant will collaborate with multiple teams and act as a point of contact for internal and external stakeholders.
Key Responsibilities
- Office Administration
- Manage general office operations, maintain a tidy workspace, and coordinate with building management for facilities needs
- Order and track office supplies and equipment; maintain inventory records and reconcile invoices
- Coordinate mail, courier services, and office deliveries
- Reception and Front-Desk Support
- Greet visitors, manage reception area, and handle incoming calls and inquiries professionally
- Schedule and prepare meeting rooms, including arranging refreshments and AV setup as needed
- Calendar and Travel Coordination
- Assist with calendar management for team members, schedule appointments, and coordinate internal meetings
- Support travel arrangements, including booking transportation and accommodations and preparing travel itineraries
- Document and Records Management
- Prepare, format, and proofread documents, presentations, and correspondence
- Maintain organized filing systems (electronic and physical) and ensure confidentiality of sensitive information
- Basic Financial and Administrative Support
- Assist with expense report preparation, invoice processing, and basic bookkeeping tasks as directed
- Support purchasing processes and vendor communications
- Team Collaboration and Event Support
- Collaborate with HR and other departments to support onboarding, office events, and internal communications
- Provide ad-hoc administrative support for projects and management requests
Qualifications & Job Requirements
Education & Background
- Bachelor's degree or above is preferred; fresh graduates are welcome, and extensive work experience is not required
- Possess basic professional knowledge
Experience & Industry Awareness
- Previous administrative, clerical, or office support experience is a plus
- Knowledge of the new energy industry is an advantage, or willingness to actively learn and quickly familiarize oneself with the industry

- Strong organizational skills, attention to detail, and ability to manage multiple priorities
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and comfortable learning new office software
- Good verbal and written communication skills in English; proficiency in local languages is a plus
Work Details
- Work Location: Salomague Norte, Bugallon, Pangasinan
- Work Schedule: 8:00 AM – 5:00 PM, Monday to Friday
- Company Equipment: Provided
