Key Responsibilities
- Administrative Operations
Oversee day-to-day administrative functions of the school
Maintain records, files, and documentation (permits, contracts, inventory)
Coordinate with different departments to ensure smooth operations
Assist in scheduling, logistics, and school events
- Procurement and Supply Management
Handle purchasing of school supplies, textbooks, equipment, and services
Source and evaluate suppliers based on cost, quality, and reliability
Prepare purchase requests, purchase orders, and canvassing reports
Monitor inventory levels and ensure timely replenishment
Ensure proper receiving, inspection, and documentation of deliveries
- Vendor and Contract Management
Maintain relationships with accredited suppliers and service providers
Negotiate pricing and terms to ensure cost efficiency
Monitor supplier performance and compliance with agreements
- Facilities and Asset Management
Oversee maintenance of school facilities and equipment
Coordinate repairs, maintenance schedules, and service providers
Maintain asset inventory and tracking system
- Compliance and Documentation
Ensure procurement processes follow school policies and relevant regulations
Maintain transparency and proper documentation for audits
Safeguard school assets and uphold accountability
Qualifications
Bachelors degree in Business Administration, Management, Supply Chain, or related field
At least 23 years of experience in administrative and/or procurement roles
Experience in a school or non-profit setting is an advantage
Knowledge of procurement processes and inventory management
Strong organizational and multitasking skills
Negotiation and vendor management skills
Attention to detail and accuracy in documentation
Financial awareness and budgeting skills
Proficiency in Microsoft Office or similar tools
