The Accounts Payable / Accounts Receivable Specialist is responsible for supporting the company's day-to-day AP and AR operations. Reporting to the Accounting Lead, this role ensures accurate and timely processing of invoices, payments, collections, and reconciliations. The ideal candidate is detail-oriented, organized, and highly proficient in Excel.
Key Responsibilities:
Accounts Receivable (AR)
Maintain accurate AR records, files, and customer accounts
Generate account statements and provide invoice backup as needed
Monitor AR aging reports weekly and follow up on collections
Coordinate with customers Accounts Payable teams to resolve payment concerns
Provide weekly collection status updates and reports to the manager
Post customer payments via credit card, ACH, and check deposits
Process ACH auto-charging collections (e.g., Payment Vision)
Reconcile AR balances against sales journals, credit memos, collections, discounts, and allowances
Support internal teams (e.g., BDC/Compliance) on customer-related concerns such as invoices, credit memos, and collections
Assist with ad hoc AR reporting requests
Accounts Payable (AP)
Verify, classify, and record accounts payable transactions
Process and reconcile vendor invoices, partner/manufacturer invoices, and credit memos
Ensure completeness and accuracy of supporting documentation
Respond to vendor inquiries and resolve payment discrepancies
Prepare and process vendor payments via check, electronic transfer, or ACH
Reconcile vendor statements and investigate variances
Generate reports on accounts payable status
Maintain accurate and organized AP records
Other Duties
Support other accounting tasks as needed
Perform additional duties assigned by management
Qualifications
Bachelor's degree in Accounting, Finance, Banking, or related field
At least 1 year of relevant AP/AR or accounting experience (entry to mid-level)
Basic knowledge of general accounting and AR/AP processes
Excel skills required (must-have)
Detail-oriented with strong analytical and organizational skills
Strong communication, interpersonal, and customer service skills
Able to manage multiple tasks and meet deadlines
Can work independently and collaborate in a team environment
