Job Summary
The Accounting Officer / Head of Accounting and Finance is responsible for overseeing the companys accounting operations, collections monitoring, reconciliation of accounts, BIR compliance, coordination with the external bookkeeper, preparation of financial reports, and management of company payables. The position ensures accurate financial records, timely government compliance, proper cash flow monitoring, and implementation of internal accounting controls in accordance with Philippine accounting standards and BIR regulations.
Duties And Responsibilities
- Collection Monitoring and Receivables
- Monitor and follow up client collections and outstanding receivables.
- Coordinate with Sales Team and Collections Staff regarding overdue accounts.
- Prepare aging of receivables and collection reports.
- Ensure proper recording of collections in Odoo and accounting records.
- Monitor post-dated checks (PDCs), deposits, and payment schedules.
- Coordinate with clients regarding billing concerns and payment verification.
- Reconciliation of Accounts
- Perform bank reconciliation and account reconciliation regularly.
- Reconcile sales invoices, official receipts, delivery receipts, and collection records.
- Verify discrepancies and ensure correction of accounting entries.
- Ensure reconciliation of supplier statements and company ledgers.
- Monitor inventory-related accounting adjustments when necessary.
- BIR Compliance and Government Reporting
- Coordinate with the company bookkeeper regarding:
- VAT filings
- Withholding tax filings
- Percentage tax filings
- Income tax compliance
- Alphalist and other BIR submissions
- Ensure proper safekeeping and monitoring of:
- Official Receipts
- Sales Invoices
- BIR registrations
- Books of Accounts
- Monitor deadlines for BIR, SEC, LGU, and other government compliance requirements.
- Assist during BIR audits and compliance verification.
- Financial Reporting
- Prepare and analyze:
- Financial Statements
- Profit and Loss Reports
- Cash Flow Reports
- Expense Monitoring Reports
- Collection Reports
- Payables and Receivables Monitoring
- Submit financial reports to management regularly.
- Assist management in budgeting and financial planning.
- Provide recommendations to improve financial operations and cost control.
- Accounts Payable Management
- Monitor due dates of suppliers, rentals, utilities, government obligations, and other payables.
- Prepare payable schedules and payment recommendations.
- Ensure proper supporting documents before payment processing.
- Coordinate with suppliers regarding billing discrepancies and statements of account.
- Monitor company cash flow and payment prioritization.
- Accounting Supervision and Internal Control
- Supervise accounting staff, bookkeeper coordination, and finance-related processes.
- Ensure proper documentation and filing of accounting records.
- Implement internal controls to prevent financial discrepancies and losses.
- Monitor accuracy of accounting entries in Odoo system.
- Ensure confidentiality of financial records and company data.
- Administrative and Other Duties
- Assist management in financial decision-making.
- Support external auditors and accountants during audit periods.
- Recommend process improvements for accounting efficiency.
- Perform other accounting and finance-related duties assigned by management.
Qualifications
- Bachelors Degree in Accountancy, Accounting Technology, Financial Management, or related course.
- Preferably with experience in:
- Collections
- General Accounting
- BIR Compliance
- Financial Reporting
- Payables and Receivables Management
- Knowledgeable in Philippine taxation and BIR regulations.
- Familiarity with accounting systems such as Odoo is an advantage.
- Strong analytical and problem-solving skills.
- Excellent organizational and documentation skills.
- Trustworthy, detail-oriented, and capable of handling confidential financial information.
- Preferably with supervisory or leadership experience for Head position.
