About the Role
The Accounting & Purchasing Coordinator is responsible for supporting day-to-day accounting operations while owning the end-to-end purchase order (PO) process. This role bridges accounting and procurement by ensuring accurate financial tracking of purchases, maintaining PO integrity, and supporting timely and accurate transaction processing. This position works closely with the Accounting Clerk, Staff Accountant, Controller, and operations team to ensure purchasing data is accurate, up to date, and aligned with financial records.
Responsibilities
Purchase Order Management (Core Function)
- Issue purchase orders to suppliers based on internal requests and approvals
- Maintain and update POs throughout their lifecycle, including:
- Line item adjustments and drawdowns
- Updates to delivery dates (ETA/promise dates)
- Price revisions and quantity changes
- Ensure POs accurately reflect current supplier commitments and internal needs
- Communicate with suppliers and internal teams regarding PO changes or discrepancies
- Monitor open POs and follow up on outstanding items
Accounting / Bookkeeping Support
- Assist with general bookkeeping tasks, including:
- Data entry and transaction recording
- Account reconciliations & key tasks (as assigned)
- Maintaining organized financial records
- Support month-end close processes
- Work with the Accounting Clerk to ensure alignment between POs, receipts, and invoices (3-way match support, where applicable)
Accounting Clerk Backup Support
- Serve as backup to the Accounting Clerk during periods of high workload, absence, or vacation
- Assist with accounts payable and accounts receivable transactional tasks, including:
- Invoice entry and processing
- Payment application and allocation
- Basic vendor and customer account inquiries
- Support timely processing of transactions to maintain workflow continuity
- Ensure accuracy and adherence to established procedures and internal controls while performing backup duties
- Coordinate closely with the Accounting Clerk and Controller to prioritize tasks during coverage periods
Data Integrity & Reporting
- Maintain accurate and organized records of all purchase orders and related documentation
- Generate and maintain reports on open POs, commitments, and purchasing activity
- Identify discrepancies between POs, invoices, and receipts and escalate as needed
- Support audit requests related to purchasing and transactional records
Process Improvement
- Help develop and improve PO tracking and maintenance processes
- Recommend improvements to increase accuracy, efficiency, and visibility into purchasing activity
- Assist in maintaining internal controls related to purchasing and expenditures
Competencies and Qualifications
- 2+ years of experience in bookkeeping, accounting support, or purchasing/PO management
- Experience in a manufacturing or inventory-based environment strongly preferred
- Familiarity with ERP/accounting systems (e.g. QuickBooks, etc.)
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and maintain accurate records
- Proficient in Excel / Google Sheet (sorting, filtering, basic formulas)
