Southwestern University PHINMA is looking for a new
Academic Secretary to serve as the primary liaison for the Dean, managing schedules, and acting as an assertive representative of the Deans Office. The ideal candidate is a highly organized professional who can navigate diverse environments and make sound decisions under limited supervision.
Qualifications
- Bachelors Degree in Business Administration, Office Administration, Communications, or any relevant field
- Preferably with at least 1 year of experience in administrative support, office management, or executive assistance
- Highly assertive, detail-oriented, and capable of working independently under limited supervision
- Proficiency in navigating Microsoft Office and Google Suite
- Comfortable and confident to work with foreigners
Key Responsibilities
- Act as an authorized liaison for the Dean; provide timely information and make administrative decisions within authorized limits to ensure workflow continuity.
- Proactively manage the Deans schedule by assessing the priority of meeting requests, resolving scheduling conflicts independently, and ensuring time is allocated for critical academic and administrative tasks.
- Serve as the first point of contact for the Deans Office, screening inquiries and resolving routine concerns from students and faculty before they require the Deans direct intervention.
- Act as a bridge between the Deans Office and other university departments, ensuring clear communication of directives and timely submission of requirements from the department.
- Prepare summary notes for the Dean prior to and after meetings, ensuring they have all necessary background information and documents to make informed decisions.
- Manage the filing and tracking of academic records, including sensitive CHED and accreditation documents.
