What we're looking for:

We're looking for a Web Operations Manager to take ownership of our growing digital ecosystem overseeing multiple websites, tools, and systems that power our therapy and wellness network.

This person will manage and improve day-to-day web operations, ensure all systems run efficiently, and continuously look for smarter, more automated ways to work. They'll be hands-on inside WordPress and related platforms, proactive about solving problems before they arise, and confident recommending new tools and technologies that enhance workflow and performance.

You don't need to be a full-stack developer, but you should be technically fluent able to understand, troubleshoot, and communicate with developers when deeper coding is required.

Responsibilitieswhat you'll do:

Website & Systems Ownership

  • Manage and maintain all organizational websites (WordPress, Squarespace).
  • Keep platforms updated, secure, and fully functional across devices and browsers.
  • Troubleshoot minor issues and make front-end fixes using HTML, CSS, or JavaScript.
  • Maintain hosting, domains, SSL certificates, and plugin updates.
  • Document systems, credentials, and workflows to ensure continuity.
  • Take full ownership of web operations ensuring everything stays organized, consistent, and reliable.

Content Management & Publishing

  • Upload and format pages, blogs, and resources within WordPress or Squarespace.
  • Update site copy, links, and CTAs across multiple pages and platforms.
  • Manage PDFs, brochures, and downloadable assets to ensure accuracy and alignment with live content.
  • Coordinate with the marketing team to implement design or copy updates efficiently.

Automation, AI, & Workflow Optimization

  • Manage and expand automations within ActiveCampaign (email journeys, tagging, segmentation, and lead capture flows).
  • Be familiar with other automation tools such as Zapier or Make and know when to leverage them to improve workflow efficiency.
  • Integrate tools like Airtable, Jotform, or Softr to streamline internal systems.
  • Use AI tools (e.g., ChatGPT, Midjourney, or automation assistants) to accelerate updates, testing, and documentation.
  • Proactively identify opportunities to automate recurring tasks or enhance team efficiency.
  • Stay current with emerging technologies and share insights that could benefit digital operations.

Analytics & Search Infrastructure

  • Manage Google Analytics, Google Search Console, and XML sitemaps for all sites.
  • Ensure correct indexing, page structure, and site visibility.
  • Support performance tracking and keyword insight reporting.

Collaboration & Continuous Improvement

  • Work closely with marketing, operations, and design teams to align web systems with brand goals.
  • Ensure a cohesive user experience across all sites and platforms.
  • Proactively recommend improvements from new plugins to workflow enhancements.
  • Maintain organized processes, documentation, and clear communication across teams.

Qualifications:

Required Skills

  • 35 years of experience managing websites or digital systems.
  • Strong proficiency with WordPress (Divi, Elementor, or similar page builders) and working knowledge of Squarespace.
  • Familiarity with HTML, CSS, and JavaScript for front-end troubleshooting.
  • Experience managing automations within ActiveCampaign or similar CRM platforms.
  • Understanding of workflow automation tools (e.g., Zapier, Make) and how to apply them strategically.
  • Solid understanding of Google Analytics and Search Console.
  • Excellent organization and documentation skills.
  • Ability to work independently, manage multiple projects, and communicate effectively with both technical and non-technical collaborators.
  • Fully fluent in English
  • Ability to commit long-term and full-time

Nice to have:

  • Experience with Airtable or Softr.
  • Knowledge of HIPAA-conscious data handling and website security.
  • Curiosity about AI, automation, and emerging technology.
  • Experience coordinating with developers or creative teams.
