Warehouse Supervisor / Inventory & Compliance Officer

OVERALL PURPOSE OF THE ROLE
The Warehouse Supervisor / Inventory & Compliance Officer is fully responsible for fixing, organizing, controlling, and sustaining all warehouse operations. This role is not limited to supervisionit requires hands-on leadership, strict enforcement of rules, system building, inventory accuracy, staff discipline, and loss prevention.
The goal is to transform the warehouse from a reactive, problem-filled operation into a clean, controlled, accountable, and loss-free facility.
KEY OBJECTIVES
- Establish full order, discipline, and structure in the warehouse
- Eliminate inventory discrepancies, losses, and undocumented damages
- Enforce warehouse rules with zero tolerance for negligence or abuse
- Ensure proper handling, storage, and protection of WPC, SPC, PVC, decking, cladding, and related materials
- Build systems that work even without constant owner supervision
SCOPE OF RESPONSIBILITY
The Warehouse Supervisor has full operational control over:
- Warehouse staff and daily activities
- Inventory accuracy and reporting
- Quality control and damage prevention
- Cleanliness, safety, and organization
- Compliance with company warehouse rules and SOPs
DETAILED DUTIES & RESPONSIBILITIES1. WAREHOUSE ORGANIZATION & STRUCTURE
- Divide the warehouse into clearly defined zones (Incoming, Good Stocks, Damaged, Returned/Backload, Tools & Supplies)
- Ensure all areas are properly labeled and maintained
- Implement proper racking, stacking, and floor layout to prevent damage
- Ensure clear walkways, safety zones, and access points at all times
2. INVENTORY CONTROL & ACCURACY
- Maintain one master inventory list (physical + digital)
- Conduct regular physical counts (daily spot checks, weekly, monthly)
- Ensure all incoming and outgoing stocks are properly recorded
- Investigate and report any discrepancies immediately
- Control batch tracking, arrival dates, and product identification
3. DAMAGE CONTROL & QUALITY MANAGEMENT
- Set up and maintain a designated damaged-goods area
- Ensure damaged items are clearly tagged: DAMAGED DO NOT USE
- Identify root causes of damage (handling, storage, transport)
- Submit detailed damage reports with photos and accountability
- Reduce recurring damage through corrective action and staff retraining
4. PEOPLE MANAGEMENT & DISCIPLINE
- Supervise all warehouse personnel and helpers
- Assign clear ownership per zone, task, and shift
- Enforce discipline, punctuality, and work standards
- Issue written warnings, incident reports, and recommendations for penalties
- Escalate repeated negligence or violations for suspension or termination
5. SOP IMPLEMENTATION & COMPLIANCE
- Implement and strictly enforce all warehouse SOPs and regulations
- Ensure staff follow proper handling procedures for all materials
- Stop all unsafe, shortcut, or pwede na practices
- Conduct regular briefings and on-the-spot corrections
6. CLEANLINESS, SAFETY & MAINTENANCE
- Enforce daily cleaning routines (floors, racks, products)
- Prevent water exposure, dust buildup, and improper stacking
- Ensure tools and equipment are stored correctly
- Monitor safety risks and prevent workplace accidents
7. REPORTING & DOCUMENTATION
- Submit daily status reports (issues, damages, manpower concerns)
- Submit weekly inventory and condition reports
- Submit Monday material problem reports as required by management
- Maintain complete records of damages, losses, and corrective actions
8. LOSS PREVENTION & ACCOUNTABILITY
- Monitor and prevent theft, misuse, and unauthorized access
- Investigate missing stocks or suspicious activities
- Recommend corrective or disciplinary action based on findings
- Ensure all backloads and returns are properly documented and stored
AUTHORITY & DECISION-MAKING
The Warehouse Supervisor is authorized to:
- Enforce warehouse rules and SOPs
- Issue written warnings and incident reports
- Reject improper handling or storage practices
- Recommend salary deductions, suspension, or termination
- Require corrective actions from warehouse staff
QUALIFICATIONSRequired:
- Proven experience as a Warehouse Supervisor, Inventory Controller, or similar role
- Background in construction materials, hardware, logistics, or manufacturing
- Strong leadership and discipline enforcement skills
- Basic to intermediate Excel and reporting skills
- Ability to work under pressure and handle confrontation professionally
Preferred:
- Experience handling WPC, SPC, PVC, or similar finishing materials
- Experience implementing SOPs or warehouse restructuring

- 3-month probationary period

- Compliance with reports and SOPs
- Staff discipline and accountability
Failure to meet standards may result in non-regularization.
EXPECTED OUTCOME
Within 90 days, the warehouse should be:
- Clean, organized, and clearly zoned
- Inventory-controlled with minimal discrepancies
- Staff disciplined and accountable
- Damage incidents documented and reduced
- Operating under enforced systems, not personal favors
