Job Overview

We are hiring a Virtual Office and Project Manager on behalf of a leading Software/SaaS company client in the EdTech space. You will play a key role in keeping the organization aligned, organized, and running efficiently. This position supports the successful execution of company initiatives by bridging project coordination, internal operations, and executive support, while ensuring day-to-day workflows remain smooth in a fully remote environment.

Your Responsibilities

Office & Business Operations

  • Support the effective day-to-day operations of a remote-first organization
  • Own and continuously update internal documentation, standard procedures, and shared resources
  • Manage relationships with vendors and oversee the use of internal tools and operational systems
  • Assist with employee lifecycle processes, including onboarding and offboarding coordination

Project & Initiative Management

  • Lead the coordination of internal initiatives across multiple teams, ensuring projects progress smoothly from planning through execution
  • Establish clear project frameworks, including timelines, deliverables, and accountability
  • Drive alignment across teams by facilitating discussions, tracking commitments, and ensuring next steps are completed
  • Anticipate potential challenges and dependencies, escalating issues and proposing solutions as needed

Leadership & Team Enablement

  • Provide administrative and operational support to leadership, including calendar management and meeting coordination
  • Monitor key priorities and help keep leadership initiatives on schedule
  • Prepare clear summaries, updates, and reports to support informed decision-making

Process Improvement & Growth Support

  • Review existing workflows to identify gaps, inefficiencies, and opportunities for improvement
  • Assist in rolling out tools, systems, and processes that support long-term scalability
  • Help ensure internal operations follow established security, compliance, and data governance requirements

What We're Looking For

  • At least 4 years of relevant experience in project coordination, operations, or office management
  • Background in SaaS, higher education, fintech, or other compliance-focused environments
  • Familiarity with project and workflow management tools such as Asana, Monday, ClickUp, or Notion
  • Experience providing administrative or operational support to senior leadership
  • Project management certification (PMP or equivalent)
  • Strong organizational skills with the ability to manage time, priorities, and deadlines effectively
  • Proven experience working with distributed or remote teams
  • Excellent written and verbal communication skills, with the ability to work across different functions
  • Comfortable handling multiple initiatives simultaneously in a fast-paced environment
