The Virtual Intake Coordinator – Specialty Pharmacy is responsible for managing and coordinating specialty pharmacy home infusion services for patients and clients. This role collaborates closely with Clinical Pharmacists to resolve patient care issues and serves as a liaison between home health agencies, case management, and utilization review departments. The Intake Coordinator plays a vital role in quality assurance monitoring for infusion services.
Rate: $8.25 per hour
Essential Duties
- Coordinate infusion and nursing services, including handling referral calls and completing referral forms.
- Accurately transcribe patient demographics, insurance, physician, nursing agency, and patient information into the EMR system.
- Attach appropriate payers to patient records in the EMR.
- Manage electronic faxes and complete patient admission packets.
- Provide pharmacy orders to assigned pharmacists and communicate delivery details to dispatchers.
- Document all communications and authorizations with case managers, nursing agencies, patients/caregivers, physicians, insurance, and pharmacists.
- Verify insurance coverage and request authorizations within 24 hours of referral, ensuring compliance with contract protocols.
- Confirm accuracy of authorization codes.
- Consult with leadership regarding cash quotes, reimbursement rates, and referral questions.
- Maintain ongoing communication with home health agencies, hospitals, and physician offices.

- Participate in special projects and committees as assigned.
- Support performance improvement and compliance initiatives.
- Perform other duties as directed by management.
Qualifications
- Clinical VA experience required.
- Specialty pharmacy experience required.
- Knowledge of specialty medications (IVIG, Remicade, Blincyto, Dupixent, Krystexxa, Tepezza, Rituxan).
- Strong interpersonal, organizational, and time management skills.
- Excellent communication skills (oral and written).
- Problem-solving ability with timely issue resolution.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to work independently with minimal supervision.
