About the Role
We are looking for a proactive and dependable Virtual Assistant to provide recruiting support, lead management, scheduling, and general administrative assistance. The ideal candidate is not only organized and detail-oriented but also a true partner who takes initiative in improving systems, suggesting process enhancements, and helping build efficient workflows as the business grows.
Key Responsibilities
Recruiting Support
- Post job ads, screen applications, and schedule candidate interviews.
- Conduct initial candidate outreach and follow-up via email, phone, or social platforms.
- Maintain and update applicant tracking sheets or CRM systems.
- Assist in onboarding and documentation for new hires.
Lead Follow-Up
- Respond promptly to new inquiries and paid leads through email, phone, or chat.
- Follow up with prospective clients to nurture leads and schedule consultations.
- Maintain lead database accuracy and track conversion status.
- Provide regular reports on lead activity and performance metrics.
Scheduling & Coordination
- Manage calendars, book meetings, and coordinate appointments across time zones.
- Handle scheduling adjustments and reminders for both internal and external stakeholders.
- Assist in staff or caregiver shift scheduling (if applicable).
Administrative Support
- Prepare reports, maintain organized digital files, and update spreadsheets.
- Support documentation and data entry for operational or client records.
- Draft emails, proposals, or templates as needed.
- Support team communication and help streamline administrative processes.
Qualifications
- Minimum of 2 years of experience as a Virtual Assistant or Administrative Coordinator.
- Experience in recruiting, lead management, or client coordination preferred.
- Excellent English communication skills (both written and verbal).
- Strong organizational and time management skills with attention to detail.
- Proficiency in tools such as Google Workspace, Microsoft Office, CRM/ATS systems, and scheduling software.
- Tech-savvy and comfortable learning new platforms quickly.
- Proactive mindset, someone who takes ownership, anticipates needs, and suggests improvements.
