We are seeking a
highly organized, detail-oriented, and proactive Virtual Assistant to support a pediatric therapy billing company. This role plays an important part in the revenue cycle by coordinating with
Primary Care Physician (PCP) offices to obtain signed evaluations and required documentation for pediatric therapy services.
The ideal candidate is comfortable handling
high-volume phone and email outreach, persistent follow-ups, document management, and administrative tasks. Strong communication skills, attention to detail, and the ability to stay organized while managing multiple outstanding requests are essential for success in this role.
Key Responsibilities
- Contact PCP and physician offices by phone and email to request and follow up on signed evaluations and required documentation.
- Conduct a high volume of daily calls and emails while maintaining professionalism, accuracy, and proper documentation.
- Monitor outstanding evaluation requests and conduct timely, persistent follow-ups until required signatures are obtained.
- Send, receive, and track documents through fax, iFax, or similar document transmission platforms.
- Maintain accurate and organized records of outreach attempts, responses, pending requests, and completed evaluations.
- Coordinate with physician office staff, nurses, medical assistants, and administrative personnel regarding outstanding documentation.
- Identify and escalate delayed, incomplete, or recurring documentation issues to the appropriate internal team.
- Ensure all requests and follow-ups are completed within established timelines.
- Update internal systems, spreadsheets, or tracking tools with current request statuses and follow-up notes.
- Meet established daily and weekly productivity targets for calls, emails, follow-ups, and completed evaluations.
- Maintain confidentiality and handle patient and healthcare-related information in accordance with company policies and applicable privacy requirements.
Qualifications
- Previous experience in medical billing, healthcare administration, medical virtual assistance, or a similar healthcare support role preferred.
- Experience communicating with physician offices or healthcare providers is a strong advantage.
- Excellent verbal communication and professional phone etiquette.
- Strong written communication skills with the ability to compose clear and professional emails.
- Highly organized with excellent attention to detail and follow-through.
- Ability to manage a high volume of calls, emails, and follow-up requests efficiently.
- Strong time-management and prioritization skills.
- Familiarity with iFax or similar fax/document transmission platforms preferred.
- Comfortable working independently and managing responsibilities in a remote/WFH environment.
- Proficient in basic computer applications, email, spreadsheets, and online communication tools.
- Ability to remain persistent and professional when following up with busy physician offices.
- Familiarity with pediatric therapy services such as Physical Therapy (PT), Occupational Therapy (OT), or Speech Therapy (ST) is a plus but not required.
