We have an exciting opportunity for you to join our team as an US Payroll Tax Associate for our iiPay business, part of our award winning Global payroll division. Reporting to the Team Leader - International Payroll Operations, this full-time, permanent position can be based in the Philippines on remote working arrangement and offers Global coverage, allowing you to make a significant impact on our payroll business and its growth.

Key Responsibilities

Tax Notice Management

  • Review, track, and manage payroll tax notices received from federal, state, and local tax agencies.
  • Communicate effectively with clients regarding tax notices, required actions, and resolution status.
  • Coordinate with third-party tax vendor and internal payroll team to investigate and resolve tax issues promptly.
  • Maintain detailed records of notices, responses, and resolutions to ensure compliance.

Quarterly Tax Reporting and Client Delivery

  • Manage quarterly payroll tax reporting processes and monitor filing status.
  • Ensure tax returns and related reports are delivered to clients accurately and within established timelines.
  • Prepare and communicate comprehensive tax status updates, including filing confirmations, pending items, outstanding notices, and action plans.
  • Partner with payroll and tax teams to address discrepancies and ensure timely completion of quarterly obligations.

Year-End Payroll Tax Support

  • Support year-end payroll tax activities, including review of payroll tax adjustments.
  • Coordinate with payroll teams to ensure year-end corrections and updates are accurately reflected in payroll systems.
  • Communicate year-end adjustment requirements and status updates with tax partners and vendors.
  • Assist in ensuring successful completion of annual payroll tax filings and reconciliations.
  • Ensure annual tax returns and related reports are delivered to clients accurately and within established timelines.

Payroll Tax Support and Client Service

  • Serve as a payroll tax subject matter resource for payroll team members.
  • Provide guidance and support to help payroll teams effectively communicate payroll tax matters to clients.
  • Assist with research and resolution of payroll tax questions, discrepancies, and compliance-related concerns.
  • Promote a high level of client service through timely and professional communication.

Agency Registration and Authorization Management

  • Manage the tracking and completion of Taxpayer Power of Attorney (POA) and Third-Party Administrator (TPA) authorizations.
  • Coordinate new and existing agency registrations across federal, state, and local jurisdictions.
  • Monitor pending registrations, authorizations, and agency correspondence to ensure timely completion.
  • Maintain accurate documentation and records related to agency access and authorizations.

Key Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or related field preferred.
  • 2+ years of payroll tax, payroll operations, or related compliance experience preferred.
  • Knowledge of US payroll tax regulations, filings, and agency requirements.
  • Experience working with payroll systems and third-party tax filing providers.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency in Microsoft Office, particularly Excel.
