US Payroll Specialist - Remote

Job Description

We are looking for a detail-oriented Payroll Specialist to manage weekly union payroll processing and ensure employees are paid accurately and on time. This role requires experience with Dayforce, strong payroll knowledge, and the ability to work collaboratively with HR and Operations while maintaining compliance with payroll regulations and union agreements.

Key Responsibilities

  • Process weekly union payroll using the Dayforce Payroll System in accordance with the applicable Collective Bargaining Agreement.
  • Review, audit, and reconcile employee timekeeping records to ensure payroll accuracy.
  • Maintain and update employee payroll information, including schedules, shift rotations, work assignments, locations, and pay-related records.
  • Respond promptly to employee payroll inquiries and resolve payroll discrepancies in a timely and professional manner.
  • Ensure compliance with federal, state, and local payroll regulations, including payroll taxes, garnishments, and union dues.
  • Process payroll adjustments, including salary increases, bonuses, retroactive payments, and other special payroll transactions.
  • Prepare weekly payroll reports and generate ad hoc reports for management, audits, and other business needs.
  • Coordinate the distribution of live payroll checks to designated center representatives.
  • Work closely with HR regarding employee status changes, benefits administration, and other payroll-related updates.
  • Maintain accurate employee route assignment records.
  • Assist HR and Operations in educating employees on payroll processes and the Dayforce system.
  • Support general administrative and office functions as needed.
  • Collaborate effectively with internal teams to support communication, knowledge sharing, and cross-training initiatives.

Qualifications

Required

  • Previous experience in a payroll or payroll administration role.
  • Hands-on experience using the Dayforce Payroll System.
  • Experience processing payroll for a medium to large workforce.
  • Working knowledge of payroll regulations, tax compliance, garnishments, and union dues.
  • Basic proficiency in Microsoft Excel, Word, and Outlook.
  • Strong data entry skills with a high level of accuracy.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Exceptional attention to detail.
  • Commitment to workplace safety and adherence to safety management practices.

Preferred

  • Experience working within the transportation or logistics industry.
  • Familiarity with HR processes and employee record management.
  • Experience supporting unionized workforces and interpreting Collective Bargaining Agreements.
