Overview
Our client is looking for an experienced US Payroll Specialist to support accurate and compliant payroll operations for U.S.-based employees. This role is fully remote and will work closely with HR and Finance partners to ensure timely payroll processing, employee data accuracy, and continuous process improvement.
What You'll Do
Payroll Processing & Compliance
Process accurate and timely U.S. payroll including regular, off-cycle, and adjustment payrolls
Support multi-state payroll for exempt and non-exempt employees in compliance with federal, state, and local regulations
Review and validate payroll inputs such as new hires, terminations, compensation changes, bonuses, and leave-related pay
Maintain accurate payroll and job data across payroll and HR systems
Employee Support & Collaboration
Respond to employee inquiries related to payroll, pay changes, deductions, and employment data
Partner closely with HR and Finance to ensure employee records, tax setup, and payroll deductions are accurate
Support onboarding and offboarding processes related to payroll setup and final pay
Reporting, Audits & Process Improvement
Assist with payroll reconciliations, audit support, and preparation of payroll registers and reports
Maintain payroll records in line with internal controls and record retention requirements
Support payroll system updates, testing, and continuous process improvements
Contribute to documentation of payroll and operational processes
The Right Fit
Experience & Knowledge
3+ years of hands-on U.S. payroll processing experience
Required experience using Rippling for U.S. payroll processing
Experience supporting multi-state U.S. payroll and employment tax compliance
Working knowledge of exempt and non-exempt payroll requirements
Experience supporting Canadian payroll is a plus
Skills & Attributes
Strong attention to detail and confidentiality with sensitive employee data
Proficiency in Excel including filters, lookups, and basic formulas
Strong organizational and communication skills
Ability to manage deadlines in a fast-paced environment
Experience supporting payroll within HR Operations or People Ops
Experience with benefits deductions and payroll or HR system integrations
Exposure to equity-related payroll transactions or payroll audits is a plus
