Job Description

Responsibilities

Executive Assistant Duties

  • Manage executive calendar, meetings, appointments, and travel arrangements
  • Prepare correspondence, reports, presentations, and meeting materials
  • Act as liaison between executives, staff, clients, and vendors
  • Screen calls and emails; respond or delegate as appropriate
  • Maintain confidential files and sensitive company information
  • Assist with project coordination and follow-ups
  • Organize company events, meetings, and internal communications
  • Support HR-related administrative tasks as needed

Bookkeeping & Financial Duties

  • Process invoices, payments, expense reports, and reimbursements
  • Reconcile bank accounts, credit cards, and general ledger accounts
  • Maintain accurate financial records and documentation
  • Assist with payroll processing and reporting
  • Prepare monthly financial reports for leadership review
  • Support budgeting and cash flow tracking
  • Coordinate with CPA/accountant for tax filings and audits
  • Ensure compliance with financial policies and procedures

Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or related field preferred
  • 3+ years of experience in bookkeeping and executive support
  • Strong knowledge of accounting principles and financial reporting
  • Proficiency in QuickBooks (Online or Desktop) or similar accounting software
  • Advanced proficiency in Microsoft Office (Excel, Word, Outlook)
  • Excellent written and verbal communication skills
  • Strong organizational and time-management skills
  • High level of discretion and confidentiality
  • Ability to work independently and meet deadlines

Preferred Skills

  • Experience in small to mid-sized business environments
