CLIENT BACKGROUND

Our client is a growing U.S.-based tax, accounting, and advisory firm currently in a business-building and process-standardization phase.

The firm supports small businesses across bookkeeping, tax, and advisory services and is focused on building scalable systems and improving operational workflows as the business continues to grow.

As client demand increases, the firm is looking for a Bookkeeper & Operations Lead who will take full ownership of the firm's bookkeeping function - including accrual-basis accounting - while also taking an active role in driving operational processes and business growth initiatives.

This role is ideal for someone who takes genuine ownership of their work, thinks like a business partner rather than just a task executor, and wants to be a core contributor to the long-term success of a growing firm.

DUTIES AND RESPONSIBILITIES:

This role combines full ownership of the firm's bookkeeping function with executive support and active participation in operational and business growth initiatives.

You'll work closely with the founder - taking true ownership of the bookkeeping function, driving operational efficiency, and contributing ideas that help the business grow. This is not a support role in the traditional sense; it's a role for someone who wants to operate like a core team member.

Bookkeeping & Accounting (Primary Responsibility)

  • Own and manage the firm's client's full-cycle bookkeeping, including accrual-basis accounting, inventory accounting, journal entries, and ledger maintenance
  • Perform and own all bank and credit card reconciliations, accounts payable, accounts receivable, and balance sheet reconciliations
  • Organize and maintain client financial records and documentation
  • Lead the month-end close process, including accruals, prepaid expenses, and preparation of accurate financial statements
  • Support onboarding and setup of bookkeeping clients
  • Help maintain organized accounting workflows and recurring task tracking
  • Maintain clean books and flag issues or discrepancies proactively before they become problems

Executive & Operations Support

  • Assist with scheduling, calendar management, and meeting coordination
  • Support proposal preparation and follow-up coordination
  • Track and organize sales lead activity and CRM updates
  • Assist with client communication and operational follow-ups
  • Support process documentation and workflow standardization
  • Help organize internal systems, templates, and recurring operational tasks
  • Assist with project coordination and status tracking
  • Provide day-to-day administrative and operational support to the founder

QUALIFICATIONS:

  • Bachelor's degree in Accounting, Business Administration, Finance, or related field required.
  • At least 3–5 years of full-charge bookkeeping or accounting experience, with demonstrated proficiency in accrual-basis accounting (journal entries, accruals, prepaid and deferred items, inventory accounting, balance sheet recons, etc.);
  • Experience with a U.S.-based accounting firm, bookkeeping firm, or professional services business managing multiple clients simultaneously required
  • Proficiency in QuickBooks Online (QBO) required; ability to work confidently in an accrual-basis environment, not just cash-basis
  • Proficiency in NetSuite a plus
  • Solid understanding of small business accounting fundamentals; chart of accounts, debits and credit, revenue recognition, expense matching, and the relationship between the income statement and balance sheet.
  • Strong organizational and time management skills
  • Strong written and verbal English communication skills
  • Comfortable managing multiple priorities and shifting tasks
  • Detail-oriented, proactive, and process-driven
  • Comfortable working independently in a remote environment
  • Strong sense of ownership, accountability, and follow-through
