Job Description

Job Summary:

The Accounting Specialist will be responsible for managing the company's accounts payable, purchasing, and demand planning functions. This role requires a highly analytical professional with strong accounting fundamentals, advanced Excel skills, and hands-on experience using NetSuite as the primary accounting and ERP system.

The ideal candidate must be capable of maintaining financial accuracy, managing supplier relations, overseeing purchasing activities, and supporting strategic inventory planning all while operating within a remote, digital work environment.

Key Responsibilities:

Accounts Payable:

  • Process outgoing payments in compliance with financial policies and procedures.
  • Perform day-to-day financial transactions including verifying, classifying, and recording accounts payable data in NetSuite.
  • Reconcile accounts payable ledgers to ensure all bills and payments are properly accounted for and posted.
  • Investigate and resolve any discrepancies by reconciling vendor accounts and monthly statements.
  • Facilitate timely payment of invoices through bill reminders and supplier coordination.
  • Generate accurate reports on accounts payable status and cash flow projections.
  • Ensure compliance with tax and regulatory requirements (e.g., W-9, sales tax).
  • Maintain and update both digital (NetSuite) and physical disbursement records.
  • Safeguard the confidentiality of all financial and vendor data.
  • Review and validate details in Approved Payment Request Forms prior to posting and payment.

Purchasing and Demand Planning:

  • Conduct regular reorder and demand planning analysis to maintain optimal inventory levels.
  • Monitor sales and warehouse data (including FBA uploads) to generate accurate demand forecasts.
  • Create, issue, and monitor purchase orders from approval through supplier confirmation and warehouse receipt.
  • Track shipping progress and coordinate with suppliers, forwarders, and internal teams to ensure timely delivery and customs compliance.
  • Collaborate with warehouse teams to conduct periodic cycle counts, record adjustments, and reconcile variances in NetSuite.
  • Support warehouse operations with Amazon FBA replenishment and shipment planning.
  • Identify and resolve purchasing issues or supply chain bottlenecks as they arise.
  • Maintain strong digital and documentation discipline, adapting to a fully remote, system-driven workflow.
  • Utilize Microsoft Excel for advanced data analysis, forecasting models, and reporting dashboards.

Qualifications and Requirements:

  • Bachelor's Degree in Accounting, Finance, or Business Administration.
  • Minimum 35 years of experience in accounting, purchasing, or demand planning roles.
  • Hands-on experience in NetSuite (mandatory).
  • Advanced Excel proficiency (pivot tables, formulas, macros, data analysis).
  • Solid understanding of bookkeeping principles and accounts payable processes.
  • Strong analytical, organizational, and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Excellent written and verbal communication skills in English.
  • Self-motivated, disciplined, and able to thrive in a fully remote environment.
  • Must be willing to work US business hours (night shift; 9:00pm - 6:00am), Monday to Friday.

Preferred Skills:

  • Experience in inventory and demand forecasting.
  • Familiarity with Amazon FBA or e-commerce operations.
  • Knowledge in import/export processes and logistics coordination.
  • Background in financial reporting or cost analysis.
