Job Description

Payroll Officer

The Payroll Officer is responsible for payroll operations, including processing payroll, handling employee changes in payroll system, processing benefits, and ensuring compliance with statutory requirements. This role demands accuracy, efficiency, and a strong understanding of payroll and benefits administration to support the organization's financial and operational goals.

Responsibilities

Payroll Processing

  • Address and resolve payroll-related disputes and discrepancies promptly, ensuring accurate and fair resolution.
  • Update and maintain employee records for changes such as promotions, transfers, and terminations in the payroll system.
  • Process payments according to company policies, ensuring correct calculation and timely payment.

Payroll Run

  • Execute payroll runs, ensuring all employee compensation is accurately calculated and processed.
  • Process final pay for resigned employees, ensuring accurate computation of all final payments and deductions.

Statutory Reporting

  • Ensure accurate and timely submission of statutory reports
  • Perform regular reconciliation of payroll-related accounts to ensure accuracy and compliance.
  • Oversee the preparation and submission of BIR Form 1601C, Alphalist of Employees, BIR Form 2316, and other tax-related documentation.

Benefits Processing

  • Process employee benefits related to sickness and maternity leave, ensuring timely and accurate disbursements.

Payroll Entries and Analysis

  • Accurately record payroll transactions in the accounting system, ensuring all entries reflect correct payroll data.
  • Provide support in the analysis of payroll data, identifying trends, discrepancies, and areas for improvement.

Additional Duties

  • Participate in payroll audits and reviews, providing necessary documentation and addressing any issues.
  • Support enhancements to payroll systems and procedures to improve efficiency and accuracy.
  • Any additional duties or projects that may be assigned to support team objectives or organizational needs.

Collaboration

  • Work closely with the Accounting and POPs teams to ensure accurate payroll processing and statutory compliance. Interact directly with employees to address their payroll concerns and resolve disputes effectively.
  • Communicate with government regulatory bodies for statutory compliance and with auditors during payroll audits.

Requirements And Skills

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field.
  • Proven experience in payroll processing, including handling disputes, employee changes, and benefits administration.
  • Familiarity with statutory reporting requirements and benefits processing.
  • Proficiency in payroll software and spreadsheet applications (e.g., Microsoft Excel, Sprout, Quickbooks).
  • Knowledge of payroll systems and processes, statutory compliance, and benefits administration.
  • Excellent organizational and time-management skills, with the ability to handle multiple payroll tasks and deadlines efficiently.
  • Strong analytical skills to identify and resolve payroll discrepancies and issues.
  • Detail-oriented with a focus on accuracy in payroll processing and record-keeping.
  • Effective communication skills for interacting with employees, the accounting team, and regulatory bodies.
  • Ability to adapt to changing priorities and manage workload effectively.
