Travel Coordinator

Location: Cebu/Clark/Tarlac/Mandaluyong
Work Arrangement: Onsite, Fulltime
Shift: 7:00 AM to 4:00 PM | Monday - Friday

About this role . . .

Key Responsibilities:

  • Managing and processing all travel requests for projects, as well as Group-level travel requirements.
  • Assist Project Administrators with updating roster / Schedules (in excel spreadsheet) with confirmed booking details.
  • Prepare and send out flight and accommodation itineraries to employees and / project teams.
  • Overseeing the end-to-end travel process, including bookings, compliance, and documentation.
  • Assisting with the reconciliation of travel accounts, including processing and validating invoices for project-related travel.
  • Acting as a key point of contact for internal stakeholders, providing timely and accurate travel advice.
  • Supporting and mentoring junior team members within the travel/project administration function.
  • Manage and maintain shared mailbox ensuring timely and accurate processing of request

Qualifications / Skills:

  • Travel industry experience booking high volume flights and accommodation. As a guide in the preceding 12 months booked in excess of 6,000 flights.
  • Preferred years of experience: 3 years
  • Strong English communication skills: both written and verbal. - need to be able to communication via Phone and email in a clear and concise manner.
  • High-level computer literacy, with the ability to quickly adapt to multiple travel and client systems.
  • Proven problem-solving skills with the ability to manage issues proactively and independently.
  • Extensive prior experience in travel coordination roles within an Australian organization (construction, engineering, or resources sector experience highly regarded).
  • Demonstrated ability to manage, coach, and support a small team.
  • Experience in providing training and system support to colleagues.
  • Confidence and professionalism in liaising with senior executives and project leaders.
  • Strong organizational skills with attention to detail and the ability to manage competing priorities under pressure.

  • Ability to work as a member of a team or independently
  • MS Office Skills - Excel (Intermediate), Word, Outlook as per MS Office Skills matrix
  • Strong understanding of online booking tools and systems
  • Maintains good attendance and punctuality
  • Able to complete set daily tasks
