Position Purpose
The
Training Assistant Manager is responsible for supporting New Hire Training, Compliance Training, and overall Training Operations across all client work. This role oversees training administration processes, training logistics, reporting, workforce coordination, trainer support, and operational compliance. The position requires the ability to manage a high-volume workload with minimal oversight while coordinating closely with Training, Operations, Workforce Management, Quality, and Client Services teams.
Job Responsibilities
- Accurately track attendance for active classes and share attendance reports with internal stakeholders
- Validate trainee attendance, timecards, and payroll-related data during payroll periods
- Ensure onboarding and offboarding documentation is completed accurately and submitted on time
- Complete and maintain all required training and compliance documentation for internal and external stakeholders
- Maintain organized and updated records in shared databases and tracking systems
- Coordinate with Training Leadership, Operations, Workforce Management, Quality, and Client Services regarding training-related requirements
- Track trainer certifications and compliance completion across client programs
- Facilitate training operations including New Hire Orientation (NHO), OBE coordination, and handoff calls
- Maintain and update trainer schedules, workforce coding, trainer tagging, and training calendars
- Support trainer payroll processing and validation activities
- Maintain line of business (LOB) Gantt charts, headcount trackers, roster trackers, and workforce-related files
- Validate headcount data and update operational dashboards, weekly business reviews (WBR), monthly business reviews (MBR), and reporting decks
- Send enrollment requests and manage training platform enrollments including EverAI, TAP, and other required systems
- Facilitate shift bids and training-related scheduling activities
- Coordinate and communicate class allocations, PCA allocations, and staffing updates
- Monitor daily operational reports including EOD headcount validation and attendance tracking
- Handle change forms and other training operations documentation requests
- Contact and coordinate with employees regarding attendance concerns, callouts, and scheduling issues
- Demonstrate strong ability to multitask effectively in a fast-paced virtual environment
- Adapt quickly to changing business needs, operational priorities, and client requirements
- Perform additional administrative and operational duties as assigned
Qualifications
- At least 1 year of Training Administration, Administrative Assistant, Training Operations, Workforce, or related experience
- Strong experience handling high-volume administrative and operational workloads independently
- Excellent oral and written communication skills across all levels of the organization
- Strong organizational skills with high attention to detail and accuracy
- Advanced proficiency in Microsoft Office applications including Excel, PowerPoint, and Word
- Experience with workforce tracking, scheduling, reporting, and operational coordination
- Ability to manage multiple priorities with minimal supervision
- Strong analytical, problem-solving, and stakeholder management skills
- Dependable with strong accountability for attendance, deadlines, and deliverables
- Flexible with schedule and operational business requirements
- Ability to present findings, reports, and updates to leadership teams
- Ability to pass required background checks and pre-employment requirements
