What we're looking for:

We're looking for a Therapist-Patient Matching Coordinator to lead and manage the end-to-end process of connecting prospective clients with the right therapist at both Insight Therapy and Clarity Therapy. This role is ideal for someone who is part relationship-builder, part systems thinkerwith the ability to manage a high-touch process today while also helping us design and implement a more scalable solution for tomorrow.

You'll be the point person for incoming therapy requests submitted through our websites, using intake data to thoughtfully match each client to the best-fit therapist based on specialty, availability, and client needs. In addition to overseeing this matching process, you'll also play a key role in exploring tools and automations to streamline and enhance the patient experience over time.

This role sits on the Marketing Team and will collaborate closely with leadership, operations, and clinical staff to ensure prospective clients are supported quickly, thoughtfully, and efficiently.

Responsibilitieswhat you'll do:

  • Own and manage the therapist-patient matching process from initial inquiry to successful therapist assignment
  • Monitor incoming client requests submitted via website forms and ensure timely follow-up and communication
  • Serve as the primary liaison between prospective clients and the practice during the pre-consultation stage
  • Maintain detailed records of patient inquiries, preferences, therapist availability, and final assignments
  • Ensure prospective clients receive warm, prompt, and professional communicationminimizing delays and drop-off
  • Collaborate with leadership to evaluate tools (e.g., conditional logic quizzes, CRM integrations) that could improve and automate the matching process
  • Assist in building or configuring intake/matching tools and templates to make workflows more scalable
  • Contribute to the development of automated email follow-ups, scheduling flows, and other touchpoints in collaboration with the Marketing and Operations teams
  • Analyze inquiry trends and therapist availability data to identify opportunities to improve conversion and reduce friction
  • Coordinate with therapists and admin staff to ensure availability calendars and profiles are accurate and up to date

Qualifications:

  • 2+ years of experience in client services, patient coordination, intake management, or similar operations/admin role
  • Strong communication skills, especially via email and written platforms
  • Comfort using (or learning) CRM platforms, intake forms, and basic automation tools
  • Highly organized with excellent attention to detail and follow-through
  • Tech-savvy and curious about tools that improve workflows (conditional logic forms, scheduling integrations, automated messaging, etc.)
  • Ability to manage sensitive information with discretion and care
  • Experience in a mental health, healthcare, or wellness setting is a plus
  • Familiarity with scheduling platforms, simple no-code tools, or marketing workflows is a plus
  • Fully fluent in English
  • Ability to commit long-term and full-time
