Job Summary

We are looking for a highly organized, professional, and customer-oriented Testing Center Proctor (Examination and Client Support) to support the company's daily administrative operations and examination administration activities. The ideal candidate will be responsible for handling office administrative tasks, coordinating examination schedules, assisting examinees, administering computer-based examinations, maintaining records, and ensuring a professional, secure, and smooth experience for clients, students, certification candidates, and affiliated testing partners.

This role requires strong organizational skills, attention to detail, integrity, professionalism, excellent communication abilities, and a customer-focused mindset. The successful candidate will support both internal administrative functions and examination operations for affiliated testing and certification partners while ensuring that policies, procedures, operational standards, and customer service expectations are properly followed.

The role also requires the ability to maintain a secure, orderly, and compliant testing environment while assisting candidates before, during, and after examinations.

Key Responsibilities

Administrative and Office Support

  • Perform general office administrative tasks including filing, documentation, scheduling, and records management.
  • Maintain organized physical and digital records of company and examination-related documents.
  • Assist in preparing reports, correspondence, presentations, and other office materials.
  • Support inventory monitoring and office supply management.
  • Assist in coordinating meetings, schedules, and office activities.
  • Maintain professionalism and confidentiality in handling sensitive information.
  • Perform data entry and maintain accurate records and databases.
  • Support front-desk or reception-related functions when necessary.

Examination Administration and Proctoring

  • Administer computer-based certification and assessment examinations in accordance with the standards, rules, and procedures of affiliated testing and certification partners such as Pearson VUE, Kryterion, and PSI.
  • Coordinate examination schedules, candidate appointments, and testing sessions.
  • Verify candidate identity and eligibility prior to examinations in accordance with testing partner requirements.
  • Conduct candidate check-in and check-out procedures accurately and efficiently.
  • Explain examination rules, testing procedures, and test center policies clearly and professionally.
  • Monitor candidates throughout examinations to ensure compliance with security protocols and testing regulations.
  • Observe and document any irregularities, incidents, misconduct, or policy violations during testing sessions.
  • Ensure that testing sessions begin and conclude properly and that all required procedures are completed.
  • Prepare and organize testing environments prior to scheduled examinations.

Test Center Operations

  • Prepare, inspect, and maintain testing rooms, workstations, and equipment prior to examination sessions.
  • Ensure that all testing stations, peripherals, software, internet connectivity, and required systems are functioning properly before candidate use.
  • Maintain a clean, organized, secure, and professional testing environment.
  • Control access to restricted testing areas and ensure only authorized persons are permitted entry.
  • Perform routine readiness checks on testing equipment, systems, and operational materials.
  • Assist in enforcing testing center regulations relating to prohibited items, personal belongings, and candidate conduct.

Customer and Examinee Support

  • Assist examinees and clients with inquiries related to examination schedules, requirements, procedures, and policies.
  • Provide timely and professional responses to customer concerns through phone, email, messaging platforms, and in-person interactions.
  • Help address and escalate candidate concerns, technical concerns, or examination-related issues when required.
  • Support customer follow-ups, reminders, and coordination activities.
  • Maintain a positive, professional, and customer-oriented experience throughout all interactions.
  • Assist candidates with permitted examination procedures while maintaining strict compliance with testing partner policies.

Technical and Operational Support

  • Provide basic technical support during testing sessions, including:
  • Workstation checks
  • Login assistance
  • Printer checks
  • Camera or microphone setup where applicable
  • Basic troubleshooting
  • Escalate technical issues promptly in accordance with partner procedures and internal escalation processes.
  • Coordinate with partner support teams when necessary to resolve technical or operational concerns.
  • Ensure that technical disruptions are properly documented and handled in accordance with examination partner requirements.

Coordination and Communication

  • Coordinate with internal departments regarding training schedules, examinations, and operational requirements.
  • Assist in communicating examination guidelines and requirements to candidates.
  • Coordinate with partner organizations and vendors regarding administrative and examination matters.
  • Support management in administrative coordination and operational follow-ups.
  • Assist in organizing company events, training sessions, meetings, and workshops.

Documentation and Compliance

  • Maintain accurate records of candidate attendance, examination schedules, incident reports, logs, and related administrative documentation.
  • Ensure proper filing and tracking of examination records, attendance, and related documentation.
  • Complete required reports for exam delivery, irregularities, technical issues, and compliance matters.
  • Ensure adherence to confidentiality, data privacy, information security, and test center compliance requirements.
  • Follow all applicable partner guidelines, audit requirements, and company policies.
  • Support internal and external audits, inspections, and compliance reviews related to examination and operational activities.

Professional Development and Support Functions

  • Remain open to continuous learning and professional development.
  • Support additional administrative, customer support, and operational activities as assigned.
  • Contribute to improving administrative efficiency, operational effectiveness, and customer service processes.

Qualifications

  • Bachelor's degree in Business Administration, Office Administration, Information Technology, Communications, or a related field is preferred.
  • Relevant experience in office administration, customer service, examination administration, administrative support, or test center operations is preferred.
  • Experience working in a testing center or certification exam environment is an advantage.
  • Familiarity with computer-based testing systems and basic troubleshooting is an advantage.

Working Relationships

  • Works closely with the IT/Cybersecurity Instructor, Sales and Marketing personnel, Customer Success / Client Relations Officer, Administrative and Compliance personnel, technical support personnel, management, and affiliated testing partners.
  • Interacts with examination candidates, vendors, auditors, partner representatives, and external stakeholders when necessary.

Reporting Line

  • Reports directly to the President/CEO or to such officer, manager, or supervisor as may be designated by the Company.
