CodeBlu Development is a U.S.-based software & AI engineering studio that builds mission-critical systems for organizations that cannot afford downtimepublic safety, nonprofits, government-adjacent teams, and operations-driven businesses.

We're hiring an Operations Manager to run the internal engine of the company. This role owns company operations, internal projects, systems, tools, and execution so leadership can stay focused on strategy, growth, and client outcomes.

This is not a client project management role. This role is responsible for internal company operations and company-level initiatives.

What You'll Do (Day-to-Day Reality)

On a typical week, you will:

  • Review ClickUp dashboards daily to identify stalled tasks, overdue work, or blocked dependencies
  • Follow up directly with team members to unblock work and keep momentum moving
  • Translate leadership priorities into clear internal tasks, timelines, and ownership
  • Coordinate internal handoffs between team members (engineering, QA, ops, admin)
  • Review time tracking and ensure it accurately reflects work performed
  • Flag gaps or inconsistencies before billing or reporting happens
  • Maintain and improve SOPs, internal playbooks, and workflows
  • Proactively identify risks, delays, or operational breakdowns
  • Ensure work moves forward without leadership needing to chase updates
  • Keep internal systems clean, organized, and usable (not messy or ignored)
Operational Ownership & Systems Readiness

You will fully own operational readiness, including tools, access, and internal infrastructure:

  • Own all internal operational tools and systems
  • Ensure every team member has the right tools, permissions, and access to do their job
  • Manage onboarding and offboarding access (ClickUp, repositories, shared docs, internal tools, etc.)
  • Identify missing tools, access issues, or workflow gaps before they slow work down
  • Act as the point person for internal operational issues related to systems or access
  • Keep internal tools structured, intentional, and actually usable

Company-Level Project & Goal Management (Not Client Projects)

In addition to day-to-day operations, you will manage internal company initiatives and goals, including:

  • Project-manage company-level initiatives and operational improvements
  • Break down leadership objectives into structured internal projects with timelines and milestones
  • Track progress on company goals and ensure consistent follow-through
  • Maintain visibility into what internal initiatives are moving, stalled, or at risk
  • Ensure internal projects don't drift behind client work
  • Hold internal owners accountable to company priorities

Core Responsibilities
  • Own internal operations across company projects, people, process, and systems
  • Manage and optimize workflows in ClickUp
  • Track internal timelines, risks, and dependencies
  • Ensure accountability and follow-through across the team
  • Align internal execution, time tracking, and reporting
  • Maintain operational documentation and standards
  • Support onboarding and internal coordination as the company grows
  • Continuously improve systems to reduce friction and chaos

What We're Looking For
  • Strong experience in operations or project management (agency, SaaS, or technical environments)
  • Highly organized, detail-oriented, and proactive
  • Comfortable holding people accountable in a professional way
  • Experience using ClickUp or similar tools (Asana, Jira, etc.)
  • Able to turn high-level goals into clear, executable plans
  • Strong written communication skills
  • Comfortable working with a U.S.-based leadership team

Nice to Have
  • Experience working with developers or technical teams
  • Familiarity with time tracking, billing, or internal reporting workflows
  • Background in fast-moving or high-stakes environments
  • Process-builder mindset you enjoy fixing broken systems
