Purpose:
Ensure the Malampaya facilities asset integrity and reliability through:
- safe, timely and cost-efficient delivery of managed preventive maintenance
- provision of essential administrative and technical support to the Maintenance Execution (MEX) team which ensures smooth documentation processes, system transactions, vendor coordination, and financial monitoring to enable efficient maintenance operations across the organization.
THE ROLE
Document Controller:
- Manage circulation, monitoring, review follow-ups, approval, and archive of workpacks and other Mex documentation.
- Ensure compliance with document control standards and timely updates.
- Maintain and update the MEX SharePoint site to ensure accessibility and accuracy of shared resources.
Planning and Coordination:
- Admin support for IAP planning team in managing OPLAN including reconciliation of SWP IAP CR or Flight Plan in OPLAN for base business.
- Assist MEX planners with OPLAN-related follow-ups, requests, and requirement submissions (e.g., FTW, PTW, pre-mobilization).
- Facilitate workprep and site requests for vendor mobilization and coordinate hotel and transportation arrangements with Logistics Admin.
- Maintain and update the Sharepoint site for premobilization requirements
Financial and Budget Monitoring:
- Perform SAP transactions including Gen WO creation for Operations department
- Provide administrative support for MEX budget tracking and work order cost variance monitoring via SAP and PowerBI
- Handle SAP transactions related to accruals and invoice monitoring for Operations, Process Engineering, and MEX.
- Prepare and submit monthly finance accruals for MEX
- Responsible for raising Z6 for PMs under non-Safety Critical Equipment (SCE) functional locations
- Responsible for follow up on Maintenance Feedback Cards related to PM optimization or improvement

- Financial accountability: No direct budget ownership but influence on MEX budget as per responsibilities stated above.

THE INDIVIDUAL
- Bachelor's degree in Business Administration, Engineering, or related field.
- Familiarity with operations and maintenance planning tools and workflows.
- Experience in document control systems and financial tracking.
- Ability to work collaboratively with cross-functional teams.
- Experience in technical administration, preferably in maintenance or operations.
- Proficiency in Microsoft 365, SAP and SharePoint.
- Skills or experience working with Primavera.
- Strong organizational and communication skills.
- Attention to detail and ability to manage multiple tasks.
