We are seeking a highly motivated and detail-oriented Tax Operations Coordinator to support the day-to-day operations of a growing, US-based public tax practice. This position serves as a critical behind-the-scenes engine room role-responsible for maintaining structural workflows, processing source documentation, monitoring case progression, and enabling client-facing tax professionals to operate with maximum precision. Operating directly out of our modern Cebu or Manila facilities during US business hours, this role offers an exceptional operational platform for a dependable self-starter who takes immense pride in workflow efficiency, data accuracy, and organized problem-solving.
Your Impact
- Tax Operations & Workflow Support: Process, organize, and maintain highly sensitive client tax documentation packages in strict accordance with company procedures. Create, update, and route internal tax preparation tasks, filing extensions, and workforce assignments.
- Queue Command & Case Momentum: Systematically monitor assigned workflow queues, database queries, and status reports to ensure timely case progression. Track outstanding documentation, missing client signatures, and pending information to prevent pipeline delays.
- Correspondence Review & Compliance Assistance: Review incoming Internal Revenue Service (IRS) correspondence to proactively flag priority notifications or items requiring immediate escalation. Assist with basic IRS tax form compilation and the administrative verification of IRS Wage and Income transcripts.
- Payment Vigilance & File Readiness: Track estimated tax payment reminders and log client withholding follow-up activities. Assemble well-organized digital file packets for tax professionals to support high-efficiency tax preparation workflows.
- Process Innovation & Continuous Improvement: Identify operational inefficiencies across daily routines, take initiative to solve logistical problems, and contribute to the development of scalable Standard Operating Procedures (SOPs) and system upgrades.
- Collaborative Contribution: Coordinate internal workflows, manage departmental scheduling activities, and partner closely with onshore tax professionals to uphold high data integrity, strict confidentiality, and performance metrics.
What You Bring
- The Experience:1 to 3 years of experience in administrative support, operations coordination, tax, accounting, financial services, legal services, or banking is preferred. Direct exposure to US individual tax returns (Form 1040 pipelines) or background as an Executive Assistant is considered a distinct operational advantage.
- Schedule & Commitment: Absolute readiness to work fixed U.S. business hours on a night shift (10:00 PM - 7:00 AM PHT), with a reliable transportation plan to commute to our Cebu or Manila office, paired with an excellent work ethic.
- Communication Excellence: Outstanding written and verbal English communication skills, enabling professional, clear, and confident collaboration with international stakeholders.
- Organizational Precision: Exceptional time-management skills and an uncompromising eye for detail, with a proven ability to juggle multiple tax-season priorities and deadlines independently.
- Technical Proficiency: Highly proficient with Microsoft Office applications (Outlook, Word, and intermediate Excel data tracking), a typing speed of at least 40 words per minute, and a natural aptitude for navigating cloud software systems and databases.
- The Credentials: An Associate or Bachelor's degree in Business, Accounting, Finance, or a related commercial field is preferred, or an equivalent combination of professional administrative work experience.
- Confidentiality Standard: Ability to maintain strict confidentiality, exercise sound professional judgment, and safeguard sensitive financial files and records.
