About the Role
We are looking for a highly organised Talent Operations Coordinator to be the operational backbone of our business. This is not a traditional recruitment role. You will not be sourcing candidates, making sales calls, or managing client relationships. Your job is to keep the engine running, ensuring every live role is tracked, every CV is submitted on time, every candidate in our system is matched against the right opportunities, and every recruiter has exactly what they need to bill. What You Will Do
Role Tracking
- Monitor live roles daily, maintaining a clean live tracker in our CRM, covering status, priority, fee, etc
- Score and prioritise roles so consultants only spend time on the best opportunities
CV Submission and Pipeline Tracking
- Format and submit candidate CVs to clients on behalf of consultants, tracking every submission through to placement in real time
- Chase client feedback proactively and ensure nothing sits unactioned
Job Description Formatting
- Format job descriptions into clean, professional PDFs using our internal tool, before they go to candidates
AI Matching and Cross-Referencing
- Run our AI matching tool to cross-reference every candidate against all live roles, surfacing strong fits that would otherwise be missed
- Flag match results to the relevant consultant immediately with a clear rationale
Reporting and Administration
- Produce a weekly pipeline report ahead of Friday reviews, deals in progress, CVs submitted, interviews booked, offers outstanding, and any stale roles or at-risk submissions
Consultant Support
- Act as the day-to-day point of contact for our consultants, coordinating role briefings and ensuring they always have what they need to bill
What We Are Looking For
- Previous experience in a recruitment coordination, talent operations, or admin support role
- Experience supporting a remote or distributed team
- Understanding of the US recruitment or staffing market
- Exceptional organisational skills, you keep everything in order without being asked twice
- High attention to detail, CV formatting, submission accuracy, and data quality matter enormously in this role
- Strong experience using AI tools for productivity, matching, or document formatting (Claude/ChatGPT)
- Strong written English, clear, professional communication at all times
- Comfortable working independently and remotely with minimal supervision
- Proficient with Google Sheets — data entry, basic formulas, keeping trackers accurate and current
- Proactive mindset, you flag problems before they become issues, not after
