Job Description

Role Overview

We are looking for a highly organized and detail-oriented Talent Acquisition Project Hire to support our recruitment team with administrative tasks, document management, and file organization. This role is critical in ensuring smooth hiring operations, accurate record-keeping, and compliance with company standards.

Key Responsibilities

File Management & Documentation

  • Maintain and organize recruitment-related files (digital and physical) in a structured and secure manner
  • Ensure accurate and timely documentation of candidate records, contracts, and onboarding files
  • Perform regular audits of files to ensure completeness and compliance
  • Manage file naming conventions, version control, and archiving processes

Administrative Support

  • Provide end-to-end administrative support to the Talent Acquisition team
  • Schedule interviews and coordinate logistics with candidates and hiring managers
  • Prepare recruitment reports and trackers (e.g., applicant status, hiring progress)
  • Assist in onboarding documentation and pre-employment requirements tracking

Data Management

  • Update applicant tracking systems (ATS) and databases accurately
  • Ensure data integrity and confidentiality at all times
  • Generate basic reports and dashboards as needed

Process Support

  • Support process improvements related to documentation and file organization
  • Assist in standardizing recruitment templates and forms
  • Help ensure compliance with hiring policies and audit requirements

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or related field (preferred)
  • 1–3 years of experience in administrative support, HR, or recruitment operations
  • Strong organizational and file management skills
  • High attention to detail and accuracy
  • Proficiency in Microsoft Office (Excel, Word, SharePoint/OneDrive preferred)
  • Familiarity with Applicant Tracking Systems (ATS) is an advantage
