Overview

This is an Independent Consultant role based in the Philippines with a minimum contract duration of six months. The Talent Acquisition Administrator Consultant provides operational and administrative support throughout the recruitment lifecycle by coordinating recruitment activities, maintaining recruitment systems, supporting candidate communications, and ensuring the efficient execution of Rare's recruitment process. The Consultant will primarily work within Philippines business hours and collaborate closely with the Recruiter Consultant, the Talent Manager, and the Talent Team.

The Talent Team supports hiring across regions by delivering consistent recruitment standards, an excellent candidate experience, and alignment with Rare's recruitment framework while adapting to local market needs and supporting the organization's growing hiring requirements in the Philippines.

Position Overview

The Talent Acquisition Administrator Consultant is responsible for the operational administration and coordination of recruitment activities. Working in partnership with the Recruiter Consultant, the role ensures recruitment activities are completed accurately, on time, and in accordance with Rare's recruitment framework. The position focuses on recruitment administration, interview coordination, systems management, reporting support, candidate communications, and process coordination, enabling the Recruiter

Consultant to focus on recruitment delivery and hiring manager partnership.

Essential Functions

Recruitment Administration

  • Provide administrative support throughout the recruitment process.
  • Maintain accurate recruitment records and candidate information in iCIMS and other recruitment trackers.
  • Support preparation of recruitment documentation and ensure records remain complete and up to date.

Interview Coordination

  • Schedule interviews and coordinate calendars with candidates, hiring managers, and interview panels.
  • Coordinate interview logistics across multiple time zones.
  • Help ensure recruitment activities progress according to agreed timelines.

Candidate Communication

  • Coordinate candidate communications throughout the recruitment process.
  • Share interview details, next steps, and recruitment updates.
  • Support positive and professional candidate experience.

Recruitment Process Support

  • Track recruitment timelines and follow up on outstanding interview feedback and recruitment actions.
  • Coordinate reference checks, background checks, and other pre-offer activities where applicable.
  • Escalate scheduling or coordination issues to the Recruiter Consultant or Talent Manager when needed.

Collaboration

  • Work closely with the Recruiter Consultant, Talent Manager, and Talent Team to support recruitment delivery.
  • Follow Rare's recruitment framework, systems, and operational guidelines.
  • Contribute to accurate reporting and continuous improvement of recruitment operations.

Qualifications

  • Experience in recruitment administration, talent acquisition coordination, HR administration, project coordination, executive support, or similar operational roles.
  • Experience coordinating interviews, calendars, or multiple stakeholders.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent communication and stakeholder coordination skills.
  • Ability to manage multiple priorities in a fast-paced remote environment.
  • Experience maintaining systems, databases, or recruitment records with a high degree of accuracy.
  • Proficiency in Microsoft Office, including Teams, Outlook, Excel, and Word.
  • Experience using an Applicant Tracking System (ATS), preferably iCIMS, is highly desirable.
  • Fluency in English required.
