This is a remote position.

About the Role

We're looking for a highly organized, tech-savvy Systems & Automation Lead to own and optimize the backend systems of a growing gym. This role is ideal for someone who enjoys building scalable workflows, automating processes, and creating clear systems that keep operations running smoothlyso the coaching and front-desk teams can focus on delivering an excellent member experience.

Key Responsibilities

  • Own, manage, and optimize GoHighLevel for CRM, automations, pipelines, lead tracking, SMS/email campaigns, and member communication

  • Oversee Google Workspace (Google Suite) including Gmail, Drive, Docs, Sheets, Calendars, and internal organization

  • Design, build, and maintain Notion systems for SOPs, task management, staff dashboards, onboarding, and internal documentation

  • Manage and support MindBody for scheduling, memberships, client profiles, payments, and reporting

  • Create, document, and maintain standard operating procedures (SOPs) for daily operations

  • Identify inefficiencies and implement automation solutions to improve internal workflows

  • Support staff with systems training, troubleshooting, and process improvements

  • Ensure data accuracy, consistency, and clean handoffs across all platforms



Requirements

Required Skills & Experience

  • Strong hands-on experience with GoHighLevel

  • Proficiency in Google Workspace

  • Advanced or working knowledge of Notion for business systems

  • Experience using MindBody (fitness/wellness industry experience strongly preferred)

  • Excellent organizational and communication skills

  • Ability to work independently and take ownership of systems and outcomes

  • Detail-oriented with a process- and improvement-driven mindset


Nice to Have

  • Experience working with gyms, studios, or fitness businesses

  • Automation experience with tools like Zapier, Make, or similar

  • Understanding of sales funnels, lead nurturing, and member retention systems
