Supply Chain Coordinator
Location: Remote
Engagement Type: Full time (40 hours per week)
About the Client
The client (more details shared as you go through the recruitment process) is a multi-brand beauty brand, founded in Auckland by a husband-and-wife team and now trading across New Zealand, Australia, and South Africa, with US expansion underway. A small, hands-on team — this role sits right at the centre of keeping their shelves stocked and supply chain glowing.
About the Role
This role exists to maintain reliable order placement, supplier coordination, and stock visibility across all manufacturing relationships, and to provide the client's commercial leadership with early, reliable warning of any supply risk before it becomes a stock-out or delivery failure.
Purchase Order Management
- Monitor sell-through and run rates across all retailers and markets, and proactively flag when a purchase order needs to be raised ahead of stock running short, rather than waiting to be directed.
- Use the client's internal order history and trend data (past PO timing, products, volumes, and frequency by manufacturer) as an input to run rate analysis and proactive PO flagging.
- Place and confirm purchase orders with all contract manufacturers across NZ, SA, and USA, and with the packaging supplier, based on this run rate analysis and in coordination with the client.
- Track PO status from placement through supplier confirmation, production, and dispatch.
- Flag any supplier delay, quantity discrepancy, or pricing variance immediately upon becoming aware of it.
Logistics Coordination
- Coordinate freight and shipping timelines with manufacturers and freight partners for each destination market.
- Monitor inbound shipment status and proactively flag delays against expected arrival dates.
- Maintain accurate records of lead times by manufacturer and lane, accounting for the packaging supplier's approximate 35-day production cycle plus sea freight per destination.
Stock Control and Reporting
- Maintain visibility of stock cover by SKU and market using Cin7 Core across the relevant territory subsidiaries, incorporating actual retailer sell-through and run rates rather than opening stock alone.
- Calculate and report stock cover in weeks against an agreed minimum threshold (to be set by the client per SKU/market).
- Raise any SKU falling below the agreed stock cover threshold as an immediate flag, not held for scheduled reporting.
Reporting Cadence
The coordinator will provide a structured weekly update to the client covering:
- POs placed and confirmed in the period, by manufacturer
- POs pending action or awaiting supplier confirmation
- Inbound shipment status and any delays
- Stock cover flags for any SKU/market below threshold
- Blockers requiring input from the client — if none, this is to be confirmed explicitly as none this period, not left blank
During periods where the client leadership requires closer visibility (e.g. travel, new market launch activity), the coordinator may be asked to provide this update on a shorter cycle. This is a deliverable frequency change, not a change to the underlying scope of services.
Qualifications
- Prior experience in a supply chain, procurement, or logistics coordination role, specifically including:
- Placing and managing purchase orders directly with suppliers or manufacturers
- Working with international suppliers across multiple countries and time zones
- Coordinating container and sea freight shipments, including booking, tracking, and shipping documentation
- Demonstrated hands-on experience with Cin7 (or a comparable inventory/ERP system such as Unleashed, NetSuite, or Fishbowl).
- Demonstrated hands-on experience with Xero (or a comparable accounting platform).
- Demonstrated hands-on experience with ClickUp (or a comparable project/task management tool).
- Confident daily user of Google Workspace (Gmail, Drive, Docs, Sheets).
- Excellent communication skills - clear, proactive, and confident corresponding directly with suppliers, manufacturers, and client leadership, and comfortable flagging issues early rather than waiting to be asked.
- Exceptional organisational skills and excellent attention to detail are essential to this role - precision is our whole brand, on the shelf and in the spreadsheet. The coordinator carries direct responsibility for flagging stock and supplier risk before it becomes a commercial problem, and errors or missed flags have direct downstream consequences.
- Self-directed and comfortable operating with minimal day-to-day supervision, while maintaining disciplined reporting habits.
