Pixel Mafia is a 3D Art Service Studio focused on creating high-end art for blockbuster video games made by some of the largest publishers in the world.
Role Overview
The Studio Manager/EA will oversee the day-to-day operations of the studio while providing high-level administrative and operational support to the Executive team. The Studio Manager/EA thrives in a fast-paced creative environment, are detail-oriented, and take pride in keeping things running smoothly behind the scenes. From managing office operations to coordinating executive priorities, the Studio Manager/EA ensures everything is efficient, compliant, and well-organized.
QUALIFICATIONS:
- Has worked in a similar administrative, office management, or executive support role for at least 5+ years
- Bachelor's degree in Business Administration or a related field, or equivalent professional experience
- Strong organizational and multitasking skills with excellent attention to detail
- Experience supporting senior leadership or executives is highly preferred
- Excellent written and verbal English communication skills
- Proficient in Microsoft Office and general office systems
- Strong time and priority management skills, with the ability to work independently
- Experience handling compliance, permits, or government requirements (e.g., PEZA, SEC, BIR) is a plus
RESPONSIBILITIES:
- Oversee the day-to-day operations of the office studio and other company properties, ensuring a clean, safe, efficient, and well-organized work environment
- Provide high-level administrative support to the Executive team, including managing calendars, organizing documents, and coordinating meetings, travel, and logistics
- Handle travel arrangements such as flights, accommodations, and itineraries for executives
- Process and manage PEZA foreign visa requirements for assigned executives
- Ensure compliance with regulatory and accreditation requirements by managing the timely renewal of permits (e.g., SEC, PEZA, BIR, BOI, business permits, sanitary and fire safety)
- Manage office operations, including budgeting and allocation of resources for supplies, equipment, and operational needs
- Lead procurement of office supplies and equipment; oversee cleaning, repairs, and maintenance of the workspace
- Develop and improve office systems, policies, and procedures to enhance efficiency and organization
- Build and maintain strong relationships with building management, vendors, and service providers; manage contracts and ensure quality service delivery
- Act as the primary liaison for all office facilities and operational concerns
- Serve as the main point of contact for guests, visitors, and visiting employees, ensuring a smooth and welcoming experience
- Support employee engagement initiatives and workplace programs to foster a positive and productive office environment
