Job Description

The Student Life & Community Engagement Coordinator is responsible for supporting the development of a vibrant, engaging, and student-centered campus experience through the planning, coordination, and implementation of student programs, activities, and events. The role serves as a key liaison between the Office of Student Life, Student Government, and student organizations, ensuring effective communication, compliance with institutional policies, and successful execution of initiatives that promote student leadership, involvement, and community engagement.

This position provides administrative, operational, and financial support for student activities, maintains accurate records and documentation, coordinates major institutional events such as Student Orientation and Graduation, and assists in fostering a positive campus environment. The Coordinator also supports student organizations and student government in achieving their goals while ensuring alignment with the institution's mission, standards, and quality requirements.

Essential Functions

Student Engagement & Community Development

  • Plan, execute, and evaluate monthly events, programs, and activities sponsored by the Office of Student Life.
  • Provide planning, coordination, and on-site support for major institutional student events, including but not limited to Student Orientation, Graduation, Leadership Trainings, Recognition Programs, and other campus-wide activities.
  • Collaborate with and provide guidance to the Student Government and Recognized Student Organizations (RSOs) in the planning and implementation of projects, events, and community-building initiatives.
  • Serve as the Student Government Moderator and official liaison between the Student Government Office and the Office of Student Life.
  • Support the development, accreditation, operations, and activities of student organizations and student government bodies to ensure alignment with institutional policies and objectives.
  • Attend and support student events, games, competitions, and other activities that foster student engagement and school spirit.
  • Serve as liaison with local, state, and conference organizations related to student life and athletics.

Event Coordination & Administration

  • Assist in the logistics, scheduling, and operational requirements of student and athletic events.
  • Coordinate event requirements with student organizations, student government, internal departments, and external stakeholders as necessary.
  • Ensure RSOs comply with institutional requirements by submitting all necessary documents for event approval, implementation, documentation, and post-event evaluation.
  • Handle communication activities of the department, including announcements, promotions, and dissemination of information regarding student programs and events.
  • Respond promptly and professionally to inquiries received through email, phone calls, office visits, and other communication channels.

Records Management & Compliance

  • Maintain, update, and safeguard student records, files, and other relevant documentation in compliance with institutional standards, accreditation requirements (e.g., PACUCOA), and ISO Quality Management Systems.
  • Prepare and maintain reports, event documentation, evaluation records, and other departmental requirements.

Financial & Budget Administration

  • Process Requisition Slips (RS) related to budget requests and approvals, cash advances, reimbursements, and liquidation reports.
  • Monitor and facilitate financial documentation requirements for student programs and activities.

Student Support & Office Management

  • Provide frontline support to students by addressing concerns, inquiries, and service requests in a professional and student-centered manner.
  • Ensure the office environment remains organized, professional, welcoming, and free from clutter at all times.

Projects, Planning & Other Duties

  • Manage assigned projects and programs, including planning, coordination, preparation of reports, development of promotional materials and collaterals, and overall implementation.
  • Participate in departmental planning activities and contribute to the development of goals, objectives, and strategic initiatives.
  • Perform other duties, special projects, and responsibilities as assigned by the immediate supervisor or management.

Qualifications

Education

  • Bachelor's Degree in Business Administration, Management, Education, Psychology, Communication, Human Resource Management, Student Affairs, or any related field.

Experience

  • Minimum of two (2) to four (4) years of relevant experience in student affairs, community engagement, event management, administrative coordination, customer service, or related areas.
  • Experience working with student organizations, student government, youth development programs, or educational institutions is an advantage.
