Summary Of Work Activities And Responsibilities

The Student-Athlete Services Officer for Non-Academic Concerns is responsible for comprehensive coordination, administration, and implementation of programs and services supporting the well-being of student-athletes outside their academic life. This includes logistics, scholarships, travel, stipend, compliance processing, documentation, and daily coordination with Program Heads and coaches.

Main Duties And Responsibilities

  • Student-Athlete Support and Coordination
    • Serves as first-line support for non-academic concerns of student-athletes and ensures timely resolution.
    • Coordinates with coaches and Program Heads to assess and address team needs.
    • Facilitates onboarding and orientation of new student-athletes.
    • Operations and Sports Program Administration
    • Plans and oversees implementation of sports-related administrative requirements.
    • Disseminate memos and communications to Program Heads, coaches, and student-athletes.
    • Prepares and circulates the weekly Sports Bulletin via social media posts.
    • Maintains updated databases of schedules, results, and athlete records.
  • Scholarship and Financial Aid Administration
    • Oversees administration and monitoring of scholarship grants.
    • Coordinates with the Office of Admission and Aid of the Loyola Schools for processing scholarship grants.
    • Coordinates with the Central Accounting Office for the processing of scholarship grants for Junior and Senior High School.
    • Guides student-athletes on scholarship requirements and documentation.
    • Prepares the request for allowance and meal subsidy of student-athletes.
  • Recruitment and Admission Support
    • Implements recruitment-related tasks including ACET application and appeal tracking.
    • Monitors incoming athlete requirements and statuses.
    • Logistics, Travel, and Residency
    • Facilitates on-campus residence arrangements for student-athletes.
    • Prepares and coordinates all local and international team travel arrangements.
    • Act as Team Leader for official delegations to local (National University Games, Jesuit Athletic Meet) and international (Universiade, ASEAN University Games) tournaments held outside Metro Manila.
  • Intercollegiate and External Requirements
    • Coordinates with suppliers, outfitters, and University sponsors for uniforms, gears, and other necessary equipment.
    • Manages the release and distribution of uniforms, gears, and equipment to all teams.
  • Administrative Support
    • Maintains database of athlete awards and accomplishments.
    • Supports selection process for Athlete Scholar and Athlete of the Year.
    • Organizes and documents meetings, including minutes and action items.
    • Ensures systematic filing and archival of documents.
    • Keeps and maintains the inventory of all uniforms, gears, and equipment from the University sponsors.
    • Performs other duties assigned by the Assistant Director for Operations.
Minimum Qualifications

Knowledge, Skills and Abilities:

  • Computer Skills ability to use basic computer software
  • Interpersonal skills Ability to build rapport with others; Can relate to people of various temperaments and levels
  • Communication skills- prepares minutes of meetings, correspondences
  • Project/ Events Management- planning, organizing and monitoring of projects
  • Problem solving & decision making- ability to analyze problems, generate solutions, and decision without considering how much time it takes
