Job Description

Role: Student Assistant - Events & Client Services Support

Position Summary

The Student Assistant will provide administrative, employee engagement, and Corporate Social Responsibility (CSR) support to ensure the smooth execution of internal programs, events, and Project ECare initiatives. The role will assist in coordinating recurring activities, maintaining records, supporting event logistics, and facilitating communications with internal and external stakeholders.

Key Responsibilities Administrative Support

  • Update and maintain department trackers, databases, and records.
  • Schedule meetings and assist in coordinating meeting logistics.
  • Monitor and maintain office supplies inventory.
  • Gather and validate the monthly list of birthday celebrants from HR and coordinate with the Design Team for announcement layouts.
  • Gather and validate the monthly list of work anniversary celebrants from HR and coordinate with the Design Team for announcement layouts.
  • Gather and validate the monthly list of new hires from HR and coordinate with the Design Team for welcome announcement layouts.
  • Assist in preparing presentations, reports, and other departmental documentation as needed.

Events Support

  • Assist in the planning and preparation of virtual activities, webinars, employee engagement programs, and company events.
  • Provide event support during the conduct of engagement activities, including participant coordination, attendance monitoring, and logistics assistance.
  • Assist in documenting events through photography and photo organization.
  • Create and distribute employee engagement surveys.
  • Consolidate and summarize survey results, feedback, and participation data.
  • Prepare certificates for speakers, participants, and activity winners.
  • Assist in the preparation of event reports and post-activity documentation.

Project ECare Support

  • Research and identify potential beneficiary organizations and community partners.
  • Assist in the preparation of outreach project proposals and supporting documentation.
  • Coordinate with NGOs, beneficiary organizations, and community partners regarding project requirements and activities.
  • Track and maintain records of donations and donated item inventories.
  • Assist in the preparation of outreach project reports and impact summaries.
  • Organize and maintain Project ECare files, records, and photo documentation.
  • Provide logistical support during outreach activities and volunteer events.

Qualifications

  • Currently pursuing a Bachelor's Degree in Human Resources, Psychology, Business Administration, Marketing, Communications, Social Sciences, or a related field, or a Senior High School graduate from the ABM strand.
  • Strong organizational and administrative skills. . Good written and verbal communication skills.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Familiarity with virtual meeting platforms (Zoom) is an advantage.
  • Detail-oriented, proactive, and able to manage multiple tasks.
  • Willing to participate in company events and outreach activities when needed.
