Job Description
The Senior HRGA Associate is responsible for leading and implementing human resources and general affairs programs related to employee engagement, expatriate administration, learning and development, and internal communications. The role also provides coordination and administrative support for general affairs, occupational safety and health, fleet management, procurement, and other workplace initiatives to ensure effective service delivery and employee experience.
The position also provides coordination and administrative support for General Affairs functions, including Occupational Safety and Health (OSH), office administration, fleet management, procurement activities, and other workplace initiatives. The Senior HRGA Associate serves as a key partner in promoting employee engagement, organizational effectiveness, and continuous improvement across HRGA programs.
1) Employee Engagement & Employee Experience
- Develop, coordinate, and implement employee engagement programs, activities, and initiatives that promote a positive workplace culture and employee satisfaction.
- Support the planning and execution of company events, employee recognition programs, wellness activities, and engagement campaigns.
- • Assist in conducting employee surveys, gathering feedback, and analyzing engagement data to identify improvement opportunities.
- • Monitor employee morale and collaborate with stakeholders to address employee concerns and workplace issues.
- • Support initiatives that strengthen organizational culture, employee relations, and retention.
2) Expatriate Administration
- Administer expatriate-related processes, including onboarding, onboarding support, housing coordination, vendor coordination, and employee assistance.
- Coordinate visa, immigration, work permit, travel, and related documentation requirements in collaboration with government agencies and service providers.
- Facilitate expatriate orientation and ensure compliance with company policies and local regulations.
- Monitor expatriate records and maintain accurate documentation and reports.
- Serve as the primary HR point of coordination for expatriate concerns and administrative requirements.
3) Learning & Development
- Support the implementation of learning and development programs, including Essential, General, Leadership, and Value-Up training initiatives
- Coordinate training schedules, logistics, attendance monitoring, and training documentation.
- Assist in conducting training needs analyses and competency development initiatives.
- Monitor employee participation and completion of mandatory and developmental training programs.
- Maintain training records and prepare reports on learning and development metrics.
- Support mentoring, coaching, and employee capability-building programs.
4) Internal Communications
- Develop and disseminate internal communications related to HR programs, employee announcements, company activities, policies, and organizational updates.
- Support the preparation of communication materials, presentations, newsletters, advisories, and employee information campaigns.
- Ensure consistency, accuracy, and timeliness of HR communications across the organization.
- Coordinate communication initiatives that promote employee engagement, organizational culture, and awareness of company programs.
5) HR Policies, Documentation & Compliance
- Maintain communication records and support the continuous improvement of communication channels and practices.
6) General Affairs and Office Administration
6.1. General Affairs and Office Administration
- Support the implementation of general affairs and office administration initiatives to ensure an efficient and productive work environment.
- Coordinate with the assigned General Affairs personnel regarding office activities, facilities requirements, administrative concerns, and workplace improvements.
- Assist in monitoring administrative service providers and vendors, as required.
- Support company activities, meetings, events, and workplace-related projects.
- Maintain administrative records and documentation related to assigned programs and activities.
6.2. Occupational Safety and Health (OSH)
- Support the implementation of Occupational Safety and Health (OSH) programs, activities, and compliance initiatives.
- Assist in organizing health, safety, and wellness activities, employee awareness campaigns, and emergency preparedness programs.
- Coordinate with the Safety Officer, Company Physician, and relevant stakeholders regarding employee health and safety initiatives.
- Support the maintenance of OSH-related records, reports, and documentation.
6.3. Fleet Management Support
- Coordinate with the responsible personnel regarding vehicle-related requests, employee transportation requirements, and administrative documentation.
- Assist in monitoring fleet-related records, insurance renewals, registrations, and maintenance schedules, as required.
- Support administrative coordination with service providers, government agencies, and internal stakeholders.
6.4. Procurement and Vendor Coordination
- Support procurement processes related to employee engagement activities, training programs, communication initiatives, expatriate requirements, and administrative projects.
- Coordinate requests for quotations, vendor accreditation documents, and procurement-related requirements.
- Assist in monitoring supplier performance and the timely delivery of goods and services.
- Maintain procurement and vendor documentation relevant to assigned HRGA programs
7) Team Support & Continuous Improvement
- Provide guidance and support to HRGA Associates regarding employee engagement, learning and development, expatriate administration, and communication activities.
- Assist in the planning, implementation, and monitoring of HR projects and initiatives.
- Identify opportunities to improve HR processes, employee programs, and service delivery.
- Support cross-functional collaboration to achieve HR and organizational objectives.
- Perform other HR and administrative duties and projects as assigned.
General Qualifications:
- Fluent in English with strong verbal, written, and interpersonal communication skills.
- Strong organizational, planning, and project coordination skills.
- Ability to communicate effectively with employees, management, government agencies, vendors, and external stakeholders.
- Strong analytical, problem-solving, and decision-making abilities.
- Highly organized and capable of managing multiple priorities while meeting deadlines.
- Detail-oriented with a proactive approach to work and continuous improvement.
- Ability to work independently with minimal supervision while collaborating effectively with cross-functional teams.
- Must have at least five (5) to eight (8) years of relevant Human Resources and Administrative experience.
- Preferably with experience in employee engagement, learning and development, internal communications, expatriate administration, and HR program implementation.
- Experience in organizing company-wide events, employee activities, training programs, and communication campaigns is preferred.
- Experience in General Affairs, office administration, vendor coordination, procurement support, and workplace programs is an advantage.
- Experience in policy development, HR documentation, and compliance-related activities is preferred.
- Experience providing guidance, mentoring, or functional support to junior HRGA personnel is highly desirable.
