Job Description

Purpose of the Position

The Special Services and Compliance (SSC) Supervisor position is responsible for overseeing and optimizing the global sales end-to-end back-office operations while ensuring adherence to global trade regulations, international shipping standards, and global compliance requirements in all markets. This role is central to safeguarding the company from regulatory risks and document confidentiality, maintaining ethical and legal trade practices, and ensuring that all global activities, from order intake to shipment execution, meet international compliance standards.

Scope of Work

The position covers global services activities including, but not limited to, attending to customer

inquiries and prospect accounts, incorporation to BIG I customer system and follow-through,

order management, customer coordination, shipping management, and other after-sales services.

The role interfaces with international customers, sales teams, production, logistics, finance, and

external partners such as freight forwarders, brokers, third-party service providers, and

government agencies.

Duties and Responsibilities

  • Oversee compliance with order fulfillment, shipping requirements, documentation, and global sales transactions to ensure strict adherence to international trade laws, customs regulations, and export requirements.
  • Manage the preparation, review, and submission of all shipping and export documentation, including commercial invoices, packing lists, certificates of origin, and export permits.
  • Manage external support services—including freight forwarders, carriers, and customs authorities—as well as internal teams to ensure the timely and compliant shipment of goods.
  • Conduct regular compliance audits, risk assessments, and monitoring of export processes, implementing corrective actions as needed.
  • Act as the primary liaison with regulatory authorities, customs officials, and external auditors for all compliance-related matters.
  • Provide guidance and best practices to internal teams on export compliance, documentation standards, and shipping regulations.
  • Control operational risks, including regulatory exposure, and mitigate them through
  • (a) Coordinated actions with relevant business units, internal teams, and external partners.
  • (b) Maintain up-to-date knowledge of international trade regulations, ensuring processes are continually aligned with evolving compliance requirements.
  • (c) Manage trade compliance processes, including BPOM Indonesia, Halal, MocRA, GCC, and ASEAN registration and trade, and other country-specific cosmetics and health regulationsand requirements.
  • (d) Safeguard all global documents and ensure their confidentiality.

Position Qualifications:

  • Bachelor's degree on any Business Management related course, International Trade, Logistics, Supply Chain, or related field
  • 3 Yrs Experience in handling global customers and export documentation
  • Proven record of integrity in handling highly confidential documents, free of any adverse incidents
