From the pre-construction phase to construction to post-construction, we partner seamlessly with our clients to coordinate and safely and successfully deliver projects and programs.

We are currently looking for a Site Document Controller to be based in Batangas. The Site Document Controller shall consistently deliver documentation services that meet client and Jacobs standards by ensuring site information is handled accurately, and in compliance with requirements.

Other Services Accountabilities

  • Understand and interpret client requirements related to project documentation and communication, ensuring correct application throughout documentation processes.
  • Organize and maintain the electronic and hardcopy project filing in accordance with project procedures and applicable Jacobs standard for Project Folder Structure and Filing system.
  • Setup and maintain a document register to track and record incoming/outgoing correspondence, transmittals, site documents and instructions, queries, daily reports, and other site records
  • Support the distribution of documents to site teams, contractors, and client teams in accordance with the approved distribution matrix
  • Ensure that only the latest approved revisions are available at point of use and that superseded documents are promptly removed from circulation or active file.
  • Perform quality checks on documents, ensuring completeness, accuracy, and compliance with project/client requirements and Jacobs standards
  • Tracks required responses to submittals, shop drawings, and requests for information. Advises Project Manager when responses are overdue.
  • Generate and issue document status, look-ahead reports as required by the project.
  • Coordination between consultants and contractors for facilitating document flow and follow up with team members and others for open items to be closed.
  • Other activities assigned by the Project Manager or Resident Engineer at site.

Here's what you'll need

  • Bachelor's Degree in Business Administration, Information Management, Engineering, or related field.
  • Experience in site-based document control, field records management, or project site support.
  • Experience in using Common Data Environments (CDEs) or Document Management Systems (DMS) such as ProjectWise, Autodesk Construction Cloud (ACC), InEight Teambinder, Procore or Aconex.
  • Proficiency in MS Office applications especially MS Excel to support document tracking and reporting at site.
  • Good verbal and written communication skills, enabling effective engagement with construction teams, engineers, contractors, consultants, and client representatives.
  • Working knowledge of site document control practices, including field filing systems, transmittal processes, and the handling and control of site documents.
  • Demonstrates outstanding troubleshooting, problem-solving, and decision-making capabilities.
  • Exhibits strong organizational skills, sound judgment, and adaptability.
