GENERAL PURPOSE:
The Shared Services Manager is responsible for leading and optimizing the delivery of Finance, Human Resources, and Administrative Support services for assigned client accounts. Acting as the key operational leader, the role ensures service excellence, team performance, compliance with agreed service levels, and continuous process improvement. The Shared Services Manager serves as the primary liaison between the client and internal shared services teams, ensuring client satisfaction while driving operational efficiency, employee engagement, and business growth.
RESPONSIBILITIES AND DUTIES
- Manage the overall delivery of outsourced Finance, HR, and Administrative Support services for assigned client accounts.
- Serve as the primary operational contact between clients and internal shared services teams, ensuring effective communication and strong working relationships.
- Develop a thorough understanding of each client's business operations, priorities, objectives, and service requirements.
- Lead, coach, and develop Finance, HR, and Administrative Support teams to achieve service excellence and performance targets.
- Monitor team productivity, quality, and service levels, ensuring compliance with contractual obligations and service level agreements (SLAs).
- Establish, track, and report key performance indicators (KPIs) to measure operational effectiveness and client satisfaction.
- Conduct regular business reviews with clients to discuss performance, service improvements, risks, and upcoming business needs.
- Drive continuous improvement initiatives to streamline processes, improve efficiency, and enhance service delivery.
- Ensure consistency, accuracy, and compliance across all client-facing finance, HR, and administrative processes.
- Partner with functional subject matter experts to ensure best practices are implemented across service delivery teams.
- Identify operational risks and proactively implement mitigation plans.
- Resolve escalated client concerns and service delivery issues in a timely and professional manner.
- Manage workforce planning, resource allocation, and capacity requirements to support changing client demands.
- Support client onboarding, service transitions, and implementation of new processes or services.
- Collaborate with business development and client services teams to identify opportunities for service expansion and account growth.
- Prepare and present operational reports, performance dashboards, and business insights to clients and senior management.
- Foster a culture of accountability, collaboration, continuous learning, and high performance within the shared services teams.
- Ensure adherence to company policies, client requirements, regulatory standards, and data privacy obligations.
- Support budgeting, forecasting, and financial performance tracking for assigned client accounts.
REQUIREMENTS:
- Bachelor's degree in business administration, Human Resources, Finance, Accounting, Management, or a related field.
- Minimum of 5-7 years of experience in Shared Services, Business Process Outsourcing (BPO), Operations Management, or Client Services Management.
- Demonstrated experience managing multidisciplinary teams across Finance, HR, and administrative functions.
- Strong understanding of shared services operations, service level management, and process improvement methodologies.
- Proven ability to manage client relationships and deliver high levels of customer satisfaction.
- Strong leadership, coaching, and people management skills.
- Excellent stakeholder management, communication, and interpersonal abilities.
- Strong analytical and problem-solving skills with the ability to interpret operational and financial data.
- Experience managing KPIs, SLAs, and performance reporting.
- Ability to manage multiple client accounts, priorities, and projects simultaneously.
- Strong organizational and project management capabilities.
- Experience working in an outsourced services, consulting, or managed services environment is highly preferred.
