Role Description

The Senior Utility Specialist plays a key role in supporting multiple U.S.-based clients by managing end-to-end utility bill processing, data validation, reporting, and vendor coordination. This position ensures that all utility billing and data management processes meet client standards for accuracy, timeliness, and compliance. The ideal candidate is detail-oriented, process-driven, and experienced in handling high volumes of data in a dynamic service environment.

Key Responsibilities

1. Utility Bill Processing and Data Quality

  • Review, validate, and maintain high-quality utility data across multiple systems and reports.
  • Monitor offline meters, identify data gaps, and coordinate corrective actions with internal teams.
  • Review XML Counter and Data Quality reports on a regular basis to ensure system integrity.
  • Communicate discrepancies or anomalies promptly to supervisors for resolution.

2. Billing and Audit Management

  • Conduct detailed monthly audits of billing data, ensuring accuracy across lease IDs, variable splits, manual readings, and EV charging information.
  • Track and resolve missing or inconsistent billing items, preparing final audit summaries for client review.
  • Manage recurring billing tasks and provide analytical insights to support accurate client invoicing.

3. Invoice Management and Vendor Coordination

  • Prepare and submit invoices in financial systems such as Coupa or equivalent platforms.
  • Support vendor setup, compliance verification, PO creation, and payment resolution activities.
  • Maintain vendor contact records and ensure all required documentation is current and compliant.

4. Energy and Sustainability Reporting

  • Update and maintain data within Energy Star and other sustainability tracking systems.
  • Run ECAP backup and variance reports and ensure all energy-related data is validated and current.
  • Support environmental reporting initiatives such as AB802, Beyond Benchmarking, and EBEWE, including data collection and annual reporting.

5. Project and Operational Support

  • Manage internal work orders, proposal requests, estimates, and project scheduling through systems such as Smartsheet.
  • Coordinate project requests related to Solar, EMS, and other energy initiatives.
  • Update systems such as MRI, PME, and EEM to reflect new loads, move-ins, move-outs, and configuration changes.

6. Reporting and Client Communication

  • Prepare recurring performance and compliance reports for internal and client use.
  • Communicate proactively with U.S.-based stakeholders to address inquiries or provide updates.
  • Ensure all deliverables meet agreed-upon service levels and turnaround times.

Qualifications and Skills

  • Bachelor's degree in Accounting, Finance, or a related field.
  • Minimum 5 years of experience in utility bill processing, data management, or facilities operations.
  • Proficiency in tools such as Coupa, EnergyCAP, MRI, Smartsheet, and Energy Star (or similar platforms) preferred.
  • Strong analytical and problem-solving skills with high attention to detail.
  • Excellent English communication skills, both written and verbal.
  • Comfortable working the night shift (12 AM 8 AM PHT).
  • Prior experience supporting U.S.-based clients preferred.
