About the Role
We are seeking a highly skilled Senior Tax Support Specialist with U.S. tax administration experience to support our U.S.-based tax team. This is not a bookkeeping rolewe need a high-functioning administrative professional who can operate independently, manage complex workflows, and provide high-level support to our tax professionals. You will ensure tax projects run smoothly by managing documents, coordinating deadlines, keeping clients informed, and leveraging advanced Excel capabilities to organize and analyze tax data.
What You'll Do
Manage client communications for tax-related tasks (document collection, deadline reminders, follow-ups) with professionalism and attention to detail.
Track tax return progress and prepare detailed status updates and reports for leadership using advanced Excel functions.
Organize and maintain client files securely with impeccable record-keeping.
Support preparation and handling of IRS/state notices and filings, leveraging your U.S. tax experience to assist with accuracy and compliance.
Manage scheduling and coordination for tax professionals.
Utilize workflow tools (Karbon, GHL, Slack, etc.) to streamline processes and improve efficiency.
Analyze and organize tax-related data in Excel, including pivot tables, VLOOKUPs, and complex spreadsheets to support reporting and tracking.
What We're Looking For
3+ years of verifiable experience as an Executive Assistant, Administrative Coordinator, or Tax Administrative Specialist supporting a U.S.-based tax or accounting firm.
U.S. tax administration experience requiredfamiliarity with tax deadlines, IRS/state notice processes, and tax document management.
Exceptional Excel skillsmust be proficient in creating and managing complex spreadsheets, using formulas, pivot tables, and data analysis tools.
Prior experience working with U.S. clients or in professional services administration strongly preferred.
Excellent English communication skillsboth written and verbal.
Highly organized, detail-oriented, and committed to confidentiality standards.
Proficiency with workflow tools (Karbon, GHL, Slack, etc.) is a plus.
Able to work U.S. business hours and hit the ground running with minimal supervision.
Compensation & Benefits
Starting rate: $10 USD/hour
Performance bonus potential up to $14 USD/hourearn additional compensation based on meeting deadlines, client satisfaction, and overall performance.
