Job Overview
Our client is seeking an experienced Senior QuickBooks Bookkeeper (Staff Accountant) to oversee the financial operations of multiple U.S.-based business entities. Moving beyond traditional bookkeeping, this full-time remote role works closely with executive leadership and external CPAs to ensure highly accurate, tax-ready financial records while supporting comprehensive month-end, year-end, and structural operational initiatives. The ideal candidate has deep expertise supporting U.S. companies (LLCs and C-Corporations), masterfully understands IRS-driven bookkeeping practices, and is equipped to provide auxiliary operational or administrative support across the client's business portfolio during lighter accounting cycles.
Schedule
- Monday - Friday, 9:00 AM - 6:00 PM Houston, TX Time (Central Time), with a 1-hour unpaid break (40 hours per week)
Responsibilities
- Full-Cycle Bookkeeping: Manage end-to-end full-cycle bookkeeping for multiple U.S. corporate entities using QuickBooks Online; maintain strict oversight of General Ledger records, the Chart of Accounts, and internal transactional documentation.
- AP, AR & Reconciliations: Direct Accounts Payable and Accounts Receivable workflows; process invoices, orchestrate vendor payments, manage customer billing, and execute complex bank, credit card, and intercompany reconciliations.
- Month-End & Year-End Close: Complete period-end close procedures, incorporating adjusting journal entries, expense accruals, prepaid allocations, fixed asset capitalization, and depreciation schedules.
- CPA & Tax Support: Prepare clean, audit-proof, tax-ready books; compile supporting financial schedules and provide clear documentation and entry explanations to external CPAs during annual tax preparation.
- Regulatory Compliance: Maintain financial record systems in strict compliance with U.S. accounting standards and internal IRS requirements.
- Operational Portfolio Support: Assist with cross-functional operational, executive, or administrative projects across the client's business portfolio during periods of lower bookkeeping workloads; help continuously optimize internal workflows.
Requirements
- Accounting Footprint: 4+ years of direct professional experience supporting U.S.-based companies in a full-cycle bookkeeping, accounting firm, or staff accountant capacity.
- Multi-Entity Mastery: Verifiable experience managing full books for multiple distinct business entities or subsidiaries simultaneously.
- Software Tool Stack Mastery: Strong, advanced proficiency using QuickBooks Online. (A formal QuickBooks Certification is highly preferred).
- Technical Accounting Literacy: Hands-on experience executing complex adjustments, including journal entries, accruals, prepaids, fixed asset schedules, and intercompany ledger balancing.
- Entity Framework Exposure: Practical experience working specifically with U.S. LLCs and/or C-Corporation financial structures.
- Advanced Data Literacy: Advanced proficiency utilizing Microsoft Excel and Google Sheets for financial modeling and reporting.
- Linguistic Standard: Exceptional written and verbal English communication and professional advisory skills.
Qualifications
- Prior professional experience working directly for a U.S. CPA firm or professional accounting agency is highly valued.
- Specialized industry background in professional services, construction, real estate, or oil & gas is considered a distinct advantage.
- Previous experience supporting executives with operational project management or corporate administrative data.
