Role Overview
We are hiring a senior-level, multi-skilled professional who can support both our day-to-day customer operations and provide light administrative / bookkeeping support to our finance function. This is a hybrid role requiring strong communication skills, operational maturity, and comfort working across different types of tasks.
This Position Supports Two Business Units
- A corporate chauffeur / transportation service (client-facing support)
- A heavy-haul transportation business (back-office finance/admin support)
Working Hours: (Full Time)
- Monday to Friday
- Time Zone TBD
Key Responsibilities
Client & Operations Support (Primary Focus)
- Handle incoming calls and inquiries from clients in a professional, concierge-style manner
- Provide real-time support such as:
- Driver status updates
- Chauffeur and vehicle details
- License plate information (for security purposes)
- Trip confirmations
- General service inquiries
- Provide accurate pricing and quotes using internal systems
- Assist with reservations and booking coordination
- Guide clients on accessing invoices and receipts through the client portal
- Deliver calm, responsive support during urgent or high-pressure situations
- Escalate issues appropriately when needed
Admin & Finance Support (Secondary Focus)
- Support the CFO with light bookkeeping and administrative finance tasks
- Review driver settlements and ensure payment accuracy
- Work with Excel files related to settlements, tracking, and reports
- Assist with invoice preparation and documentation when required
- Maintain organized records and ensure data accuracy
Tools & Systems
- RingCentral or similar VoIP systems
- Microsoft Excel (strong working knowledge required)
- Online portals and internal booking/pricing software (training provided)
- QuickBooks (nice to have, not mandatory)
Required Skills & Experience
- 48 years of experience in roles such as:
- Senior Customer Support
- Virtual Assistant
- Operations Support
- Admin Support with client interaction
- Strong spoken and written English
- Confident handling voice-based client communication
- Comfortable multitasking across different responsibilities
- Strong attention to detail, especially when working with data
- Tech-savvy and able to learn new systems quickly
Nice to Have (Not Mandatory)
- Experience with bookkeeping or invoicing
- Exposure to QuickBooks
- Spanish language skills (voice or written)
- Experience in transportation, logistics, travel, or concierge services
