Main purpose of the job
The Senior Marketing Specialist is a key operational role within the Offline & Influencer Marketing team. This position is responsible for ensuring smooth and accurate execution across Direct Sales, Direct Mail, Gift Card, and Influencer channels. The role combines hands-on campaign management with strategic cost analysis, performance tracking, and stakeholder coordination. As a senior member of the offshore team, the specialist will oversee financial accuracy, support team development through line management, and drive efficiency improvements across offline workflows.
Responsibilities and duties
Channel Operations & Technical Execution
Campaign Delivery: Owns the end-to-end delivery of technical marketing processes across Direct Sales, Direct Mail, Gift Card, and Influencer campaigns.
Asset Management: Creates and validates offer codes, campaigns, and URLs using internal tools (CUI, BOB). Uses Canva to generate and organize QR codes for talent and agency access.
Influencer Logistics: Manages the manual and automated creation of Freebox orders for influencers using scripts and internal ordering systems. Oversees ad-hoc and VIP box requests to ensure timely delivery.
Quality Assurance: Conducts print proof checks for Direct Mail and Gift Cards to ensure voucher codes and QR links are functioning and accurate before mass printing.
Troubleshooting: Utilizes technical tools like Postman to reactivate deactivated campaigns and identifies/resolves missing sales issues in the back-office system.
Recipe & Data Updates: Manages weekly recipe updates via Typeform and Tableau to ensure influencer ordering systems remain current.
Financial Strategy & Reporting
Cost Management: Leads all cost tracking for offline channels by gathering and analyzing spend across internal systems (Direct Sales budgets, Fresh Costs). This includes backdating costs and raising Purchase Orders (POs).
Reconciliation: Liaises directly with the Finance team to ensure cost accuracy, alignment, and proactive resolution of discrepancies. Responsible for uploading costs to the Marketing Budget Tracker (MBT).
Performance Analysis: Takes full responsibility for weekly QR performance reporting, drawing out trends to present channel-level insights to the wider team.
B2B Support: Manages deal creation in Hubspot, processes invoices for partners (e.g., Totally Well, Motivates), and maintains sales reports.
Team & Process Management
Line Management: Line manages a Marketing Assistant (Ingrid), providing task prioritization, quality checks, and weekly 1:1s to support professional growth and output.
Platform Leadership: Takes ownership of the HelloSocial platform, working with the influencer team to maximize its potential and support operational delivery.
Process Improvement: Actively identifies and implements improvements across reporting, campaign workflows, and stakeholder communications to increase efficiency.
Systems & Tools
The successful candidate will be expected to utilize the following systems:
Google Workspace: Advanced proficiency in Google Sheets for budget trackers (Pivot tables, VLOOKUPs).
Internal Tools: CUI (Campaign UI), BOB/OWL (Back Office) for campaign creation and customer management.
CRM & Sales: Hubspot (for B2B deal pipeline management).
Technical Tools: Postman (API requests for campaign reactivation) and Databricks/SQL (basic query execution for code extraction).
Design & Visualization: Canva (QR code creation) and Tableau (Recipe marketing dashboards).
What Success Looks Like
Financial Accuracy: Channel costs are tracked and reported independently with high accuracy; the Finance team views the specialist as a reliable partner for reconciliation.
