Job Description
Estate Planning & Project Support
- Support network-wide estate planning initiatives by conducting site feasibility assessments, space planning reviews, and operational suitability studies for new centres, extensions, mergers, and renovations.
- Prepare technical inputs, options analysis, and recommendations to inform Director-level decision-making and investment prioritisation.
- Coordinate regulatory requirements and ensure readiness for ECDA and authority submissions.
- Manage the day-to-day delivery of assigned development, renovation, and upgrading projects from design development through construction and completion.
- Coordinate architects, designers, consultants, contractors, and internal stakeholders to ensure adherence to approved scope, timelines, budget, and quality standards.
- Support tender preparation, evaluation, contractor coordination, site meetings, inspections, and progress reporting.
- Ensure timely preparation and submission of drawings, approvals, and documentation required by ECDA and relevant authorities.
- Track project budgets, monitor expenditure, and flag variances early to the Director with recommended mitigation actions.
- Support the preparation, verification, and submission of ECDA capex, cyclical maintenance, and other relevant claims.
- Maintain accurate cost records and documentation to support audit and compliance requirements.
- Support the implementation of preventive maintenance programmes, facilities management systems, and service-level monitoring across centres.
- Coordinate FM vendors and service providers to ensure timely resolution of issues and consistent service standards.
- Assist in asset condition assessments, lifecycle planning, and replacement works.
- Manage assigned cyclical maintenance, repainting, rebranding, and upgrading projects, including planning, tender coordination, on-site supervision, and handover.
- Coordinate temporary relocation or logistics planning for centres undergoing works.
- Support progress tracking, quality assurance, and post-completion reviews.
- Support lease administration activities, including renewals, variation documentation, authority licences, rental subsidies, insurance, and stamp duty coordination.
- Maintain accurate records for properties under management and support reporting requirements.
- Act as a key operational interface with centre leaders, internal departments, consultants, contractors, landlords, and vendors.
- Support engagement with regulatory authorities through accurate documentation and timely follow-ups.
- Escalate risks, delays, and issues to the Director with clear context and proposed solutions.
- Implement EPDM policies, SOPs, and governance frameworks consistently across projects and operations.
- Identify process gaps and contribute to continuous improvement of workflows, documentation standards, and systems.
- Support sustainability initiatives related to asset efficiency, space optimisation, and responsible material use.
- Provide guidance and technical support to junior team members and project officers.
- Support onboarding, knowledge sharing, and documentation to strengthen team capability and continuity.
- Act as a reliable delivery anchor within the EPDM team
