Job Description

The Senior Financial Services Officer – Human Resources is responsible for the day-to-day backroom operations and service delivery of assigned HR-related financial services processes, ensuring transactions are completed accurately, timely, and in compliance with internal policies, regulatory requirements, audit standards, and control procedures.

The role supports quality employee and stakeholder service by meeting agreed service levels, resolving complaints and process concerns, monitoring operational risks, and ensuring assigned processes are performed within approved standards, schedules, and cost expectations. It also contributes to process improvement, productivity enhancement, error reduction, waste elimination, and control strengthening within HR-related financial services operations.

Responsibility AreaDuties and Responsibilities

Service Delivery and Client Support Deliver quality service for assigned HR-related financial services processes in accordance with agreed service level commitments, turnaround times, and quality standards.

Acknowledge, assess, and resolve employee, client, or process partner complaints and feedback in a timely and professional manner.

Anticipate potential service issues, processing delays, or complaint triggers and escalate these to supervisors with recommended actions.

Coordinate with supervisors and process partners to prioritize work, manage urgent requests, and adjust processing activities when deadlines or requirements change.

Provide clear, accurate, and professional communication to employees, clients, and stakeholders regarding process status, requirements, issues, and resolutions.

Process Execution and Operations Management Ensure assigned processes are completed within standard processing time, approved production schedules, service specifications, and budgeted cost expectations.

Monitor daily workload, processing queues, exceptions, and pending items to help ensure timely completion of deliverables.

Submit required operating data, reports, logs, and process updates accurately and on time.

Report process deviations, errors, bottlenecks, or recurring issues to supervisors for corrective or preventive action.

Undergo cross-training and support other HR-related financial services processes as assigned to ensure operational continuity and team coverage.

HR Expense Booking, Monitoring, and Financial Control Responsible for the accurate booking, monitoring, reconciliation, and control of HR-related expenses, ensuring proper charging to the correct GL, SOL-RC, and budget lines.

Track budget utilization, analyze variances, prevent and resolve negative ledgers, and provide supporting documents and explanations for audit, reconciliation, and financial review activities.

Quality, Controls, and Compliance Ensure compliance with applicable HR policies, financial controls, regulatory requirements, audit standards, work rules, and unit procedures.

Maintain complete documentation, audit trails, checklists, control plans, and supporting records for assigned processes.

Conduct periodic self-audits or quality checks to ensure compliance with process standards, control requirements, and service delivery expectations.

Support internal audits, control testing, reconciliations, compliance reviews, and management validations related to assigned HR-related financial services processes.

Help maintain a low-risk rating by identifying control gaps, addressing exceptions, and ensuring timely closure of audit or compliance findings.

Risk Management and Operational Loss Prevention Help prevent operational losses arising from fraud, irregularities, negligence, processing errors, policy deviations, or control lapses.

Identify potential risk events, processing errors, or control weaknesses and immediately raise them to supervisors for appropriate action.

Accomplish and regularly update control function checklists, issue logs, deviation reports, and other monitoring tools.

Ensure outputs meet or exceed established quality requirements, accuracy standards, and process commitments.

Productivity and Process Improvement Recommend new or revised procedures, forms, reports, layouts, templates, or process steps that will improve productivity and service quality.

Identify recurring issues, manual workarounds, rework drivers, or bottlenecks and recommend practical improvements.

Support continuous improvement initiatives, productivity programs, cost reduction efforts, waste elimination activities, or possible Six Sigma-related projects.

Coordinate with supervisors, HR Technology, Finance, Payroll, or other stakeholders to support workflow improvements, automation opportunities, and reporting enhancements.

Facilities, Tools, and Work Environment Support Support the proper use, maintenance, and safekeeping of assigned tools, equipment, systems, and work facilities to maximize uptime and operational efficiency.

Comply with safety, housekeeping, information security, and records management requirements within the work area.

Team Support and Capability Building Share process knowledge, updates, and improvement areas with supervisors and team members.

Participate actively in coaching, mentoring, huddles, process reviews, and team capability-building activities.

Perform other related duties that may be assigned by the supervisor or required by the Bank.
