Job Overview
We are seeking an experienced and proactive
Senior Finance Officer to take full ownership of day-to-day finance operations and safeguard financial data integrity during an ongoing transition to
Odoo ERP .
This is an advanced, operational finance role requiring an
investigative and analytical mindset . Beyond routine processing, the successful candidate will actively audit transaction flows across
Shopify, Odoo, and Xero , trace ledger discrepancies to their root cause, accurately manage complex landed costs, and deliver dependable financial reporting to support key management decisions.
The role covers core finance operations, including
general ledger management, accounts payable, accounts receivable, reconciliations, inventory accounting, payroll, Australian financial compliance, financial reporting, and process control . The Senior Finance Officer will also be responsible for maintaining accurate stock valuations, reconciling high-volume payment gateways and bank accounts, supporting BAS and GST requirements, and improving finance workflows through documented SOPs and Odoo automation opportunities.
Key Responsibilities ERP Data Integrity & Inventory Accounting
- Perform 3-way matching by cross-referencing supplier invoices against Purchase Orders (POs), stock receipts, and bills of lading to identify pricing, quantity, and freight discrepancies.
- Accurately allocate landed costs , including sea and air freight, customs duties, tariffs, and foreign exchange (FX) adjustments, to ensure accurate unit product margins across all SKUs.
- Regularly inspect automated data flows between Shopify, Odoo, and Xero to identify broken ledger mappings, synchronization errors, and double postings before they affect financial reporting.
- Perform regular reconciliations between physical stock audits, system stock values, and inventory accounts in the general ledger .
- Investigate transaction and ledger discrepancies to identify and resolve root causes rather than accepting automated system entries at face value.
Accounts Payable, Accounts Receivable & Reconciliations
- Process vendor bills, manage payment runs, verify payment terms, and conduct routine supplier statement reconciliations.
- Monitor aging accounts, manage collection workflows, issue account statements, and enforce agreed credit terms.
- Reconcile high-volume bank accounts, credit cards, merchant settlements, and Shopify payouts down to the cent .
- Manage payment gateway settlements, including transactions involving Stripe, PayPal, Afterpay, and Zip .
Australian Payroll & Financial Compliance
- Assist with month-end and quarter-end BAS and GST preparations and reconciliations .
- Execute periodic payroll runs and track employee leave balances.
- Verify pay rates against relevant Australian awards .
- Manage Superannuation clearinghouse obligations .
- Support compliance requirements involving Australian GST, BAS, STP, award compliance, and Superannuation regulations .
Financial Reporting & Process Control
- Lead the month-end closing process , completing general ledger reconciliations and balance sheet checks.
- Prepare accurate monthly Profit & Loss (P&L) statements, Balance Sheets, and Cash Flow summaries for management.
- Establish and document Standard Operating Procedures (SOPs) for internal finance workflows.
- Identify opportunities to automate routine finance tasks within Odoo .
- Maintain strong financial data integrity and provide dependable reporting to support management decision-making.
Requirements Qualifications
- 5+ years of experience in finance operations , with extensive hands-on experience managing:
- General ledgers
- Accounts payable (AP)
- Accounts receivable (AR)
- Reconciliations
- Financial reporting
- 3+ years of experience in Australian financial compliance , with demonstrated expertise in:
- Australian GST
- Business Activity Statements (BAS)
- Single Touch Payroll (STP)
- Award compliance
- Superannuation regulations
- 1–2+ years of experience with ERP systems , with direct operational experience in Odoo or major inventory ERPs such as NetSuite, DEAR/Katana, or SAP .
- Strong understanding of integrated inventory and ledger architecture .
- 3+ years of hands-on Xero experience , including:
- Daily reconciliations
- Payroll processing
- Month-end closing tasks
- Advanced Microsoft Excel proficiency , particularly in:
- Data matching
- Variance analysis
- VLOOKUP/XLOOKUP
- Pivot Tables
- 2+ years of retail/eCommerce operations experience , with practical experience in:
- Inventory accounting
- Multi-currency vendor purchases
- Landed cost allocations
- Shopify platform payouts
- Payment gateway settlements, including Stripe, PayPal, Afterpay, and Zip
- Strong investigative and analytical skills , with the ability to actively investigate variances and verify the accuracy of automated system entries.
- Strong commercial awareness , including an understanding of how inventory accuracy, freight rates, currency fluctuations, and gateway fees affect gross margins and profitability.
- Meticulous attention to detail , with the ability to identify line-item errors, tax misallocations, and inventory discrepancies early.
- Strong written and verbal English communication skills for effective collaboration with internal management and external suppliers.
