Job Description

Key Responsibilities:

1. Advanced Executive Support

· Manage complex calendars with multiple stakeholders and shifting priorities

· Perform strategic inbox triage, draft responses, and ensure timely follow-through

· Coordinate high-level meetings, leadership forums, and client engagements

· Handle travel planning with contingency management for disruptions

2. Workflow & Priority Management

· Oversee and coordinate end-to-end workflows across multiple deliverables

· Track deadlines, action items, and leadership priorities

· Identify potential conflicts, risks, and inefficiencies, implementing mitigation plans

3. Stakeholder & Client Coordination

· Act as a key liaison between executives, internal teams, and external clients

· Build and maintain strong working relationships with senior stakeholders

· Support client-facing interactions with professionalism and discretion

4. Reporting & Administrative Excellence

· Prepare reports, presentations, and executive summaries with high accuracy

· Maintain organized documentation, trackers, and records

· Ensure all outputs meet quality and compliance standards

5. Leadership Support (Enhanced Scope)

· Provide enhanced support to senior leaders with broader responsibilities (e.g., Office Heads, NMPs)

· Prepare briefings, agendas, and key talking points

· Support governance activities and strategic initiatives

6. Compliance & Risk Management

· Ensure strict adherence to confidentiality, risk, and independence policies

· Handle sensitive information with discretion and sound judgment

· Maintain compliance with organizational and client standards

Skills & Competencies

· High level of flexibility and adaptability to executive needs

· Advanced workflow management and risk mitigation capability

· Strong communication, stakeholder engagement, and client-facing skills

· Operational mastery of executive support functions and reporting

· Exceptional attention to detail and accuracy

· Proven ability to multi-task and make accurate, data-driven decisions

· Advanced proficiency in Microsoft 365 (Outlook, Teams, Excel, PowerPoint, Copilot)

· Strong sense of integrity, confidentiality, and professional judgment

Qualifications & Experience

· Bachelor's degree or equivalent work experience

· Minimum Versant score of 60 (overall and across all parameters)

· At least 2 years of experience as a Virtual Assistant supporting senior stakeholders

· Minimum 1.5 years of BPO experience in a Team Leader or equivalent role

· Prior experience supporting Travel, BFSI, or Australian accounts preferred
